Job summary

The Guthrie Theater is seeking a Concessions Coordinator to lead daily concession operations during performances, events and rentals. You will supervise staff, prepare beverages, manage inventory, and ensure food safety and responsible alcohol service.

We expect strong leadership, hospitality skills, and a commitment to our values. This role requires flexibility for evenings, weekends, and holidays in a dynamic theater environment.

Qualifications

  • Must be at least 21 years of age.
  • High school diploma or equivalent preferred.
  • Two or more years of experience in concessions, hospitality, food service, or related field.
  • Previous supervisory or leadership experience preferred.
  • English communication skills required.
  • POS experience preferred.
  • Ability to work evenings, weekends, and holidays.

Schedule: Variable. Flexibility to work evenings, weekends, and holidays based on performance and event needs. Hours are reflective of the dynamic schedule of the theater.

Position Summary

The Concessions Coordinator is responsible for the daily operation of all concession locations during performances, special events, and rentals. This position provides on-site leadership by supervising concession staff, coordinating service operations, preparing beverage batches, monitoring inventory, ensuring compliance with food safety and alcohol service regulations, and delivering an exceptional guest experience. The Concessions Coordinator serves as the on-duty operational leader for concessions, ensuring all locations are prepared, staffed, stocked, and operating efficiently while maintaining the organization's standards for hospitality, safety, and service excellence.

PRIMARY DUTIES AND RESPONSIBILITIES

1. Operations Support

  • Open and close concession operations for performances, special events, and rentals in accordance with established Standard Operating Procedures (SOPs).
  • Ensure all concession bars and service locations are fully operational, stocked, and guest-ready by the scheduled opening time for each shift.
  • Complete opening inspections to verify equipment is operational, products are stocked, and work areas meet cleanliness and presentation standards.
  • Conduct routine walkthroughs of all concession locations before, during, and after service.
  • Monitor service flow and resolve operational issues to maintain efficient guest service.
  • Coordinate product movement and restocking between concession locations based on guest demand.
  • Coordinate with House Management and other departments to support performance and event operations.
  • Complete opening, closing, and operational checklists.
  • Secure concession locations following each shift.

2. Staff Leadership

  • Assign bartenders and concession attendants to concession locations based on operational needs, anticipated guest volume, and staff experience.
  • Conduct pre-shift meetings to communicate assignments, event information, service expectations, menu updates, and operational priorities.
  • Supervise concession staff throughout each shift.
  • Reassign staff during service as necessary to maintain efficient operations.
  • Provide coaching, guidance, and performance feedback.
  • Train and onboard new employees on concession operations, customer service standards, food safety, responsible alcohol service, and departmental SOPs.
  • Ensure staff comply with organizational policies, safety procedures, and operational standards.
  • Foster a professional, collaborative, and guest-focused work environment.

3. Beverage Preparation

  • Prepare batched cocktails, syrups, juices, garnishes, and other beverage ingredients according to standardized recipes.
  • Ensure all prepared products meet established quality and consistency standards.
  • Properly label, date, and store all prepared products.
  • Monitor inventory of batched products and prepare additional batches as needed.

4. Inventory and Product Management

  • Monitor daily inventory levels of beverages, food products, paper goods, and operating supplies.
  • Maintain established inventory par levels throughout all concession locations.
  • Restock concession locations before, during, and after each shift.
  • Receive, inspect, and organize deliveries.
  • Rotate inventory using First In, First Out (FIFO) procedures.
  • Record product waste, spoilage, breakage, and inventory discrepancies.
  • Assist with scheduled physical inventory counts.
  • Maintain clean, organized, and food-safe storage areas.
  • Communicate inventory shortages and replenishment needs to the Director of Concessions.

5. Guest Service

  • Deliver exceptional hospitality and support staff in providing outstanding guest service.
  • Respond promptly and professionally to guest questions and concerns.
  • Assist with service during periods of high guest volume.
  • Promote a welcoming, inclusive, and service-oriented environment.

6. Food Safety and Sanitation

  • Ensure compliance with all local, state, and federal food safety regulations.
  • Monitor proper food handling, storage, labeling, and sanitation practices.
  • Verify that refrigeration and food holding temperatures meet required standards.
  • Ensure concession equipment is clean, safe, and operating properly.
  • Report maintenance concerns promptly.
  • Maintain organized and sanitary concession and storage areas.

7. Alcohol Service Compliance

  • Ensure alcoholic beverages are served in accordance with all federal, state, and local laws, as well as organizational policies.
  • Monitor staff to ensure responsible alcohol service practices are consistently followed.
  • Verify that guests purchasing alcohol present valid identification when required and meet the legal drinking age.
  • Support staff in recognizing signs of intoxication and ensure service is refused when appropriate.
  • Monitor alcohol service to prevent over-service and other unsafe practices.
  • Address and document alcohol-related incidents according to established procedures.
  • Ensure all staff maintain required alcohol server certifications.
  • Work collaboratively with House Management, Security, and Event Management to maintain a safe environment for guests and staff.

8. Administrative Responsibilities

  • Complete daily operational reports and shift documentation.
  • Communicate staffing, inventory, maintenance, and operational concerns to the Director of Concessions.
  • Assist with developing and updating Standard Operating Procedures (SOPs).
  • Support ongoing staff development and operational improvements.
  • Perform other duties as assigned.

9. Teamwork

  • Work collaboratively with bartenders, concession attendants, and Floor Leads to ensure efficient operations.
  • Assist coworkers during high-volume service periods.
  • Participate in training and departmental meetings as assigned.

  • Perform other duties as assigned.
Requirements
Essential Knowledge and Qualifications
  • Must be at least 21 years of age.
  • High school diploma or equivalent preferred.
  • Two or more years of experience in concessions, hospitality, food service, or a related field.
  • Previous supervisory or leadership experience preferred.
  • Strong leadership/customer/guest service skills. Can present a polite and professional demeanor when interacting with guests and colleagues at all times.
  • Can communicate effectively in English, both verbally and in writing.
  • Experience operating a point-of-sale (POS) system preferred.
  • Can concentrate and work effectively in a busy and noisy environment.
  • Maintains compliance with all food safety, sanitation, and health regulations at all times.
  • Has active Minnesota Food Protection Manager Certification (or ability to obtain).
  • Has active Minnesota Approved Alcohol Server Training Certification (or can obtain this before the start of employment).
  • Can stand and walk for extended periods.
  • Can frequently lift and carry up to 40 pounds.
  • Can bend, stoop, reach, push and pull throughout the workday.
  • Can work evenings, weekends, holidays, and flexible schedules based on performance and event needs.
