Job summary

Eau Claire County is seeking a detail-oriented administrative professional to support the Sheriff’s Office in managing civil process flow, record-keeping, and billing for division services. You will coordinate service of process papers and court‑ordered actions while serving as a liaison with private attorneys and other agencies.

You will also generate affidavits, prepare notices and bills, and provide general clerical support to Administrative Services.

Qualifications

  • High school diploma or GED required.
  • 3+ years of full-time administrative support experience including record keeping and legal process terminology.
  • Proficiency with personal computers and Microsoft Office software.

Job description

Position Summary

Position provides clerical support services for the Sheriff’s Office and staff and performs duties to coordinate the flow of various forms of Civil Process through the Sheriff’s Office and among the District Attorney's Office, the Courts, Corporation Counsel, the Civil Process Division, and other agencies as appropriate. Also responsible for maintaining accurate records for purposes of legal documentation, generating billing, and audit; coordinating Sheriff’s sales, billing for Civil Process Division services, monitoring for past‑due accounts, and conducting initial follow‑up.

  • Coordinates flow of various forms of Civil Process through the Sheriff’s Office and maintains accurate records for purposes of legal documentation, generating billing, and auditing
  • Coordinates service of process papers
  • Coordinates foreclosures, evictions, and replevin by court Order, and execution of court‑ordered writs
  • Coordinates execution of temporary restraining orders (TRO)
  • Acts as a liaison for the Sheriff's Department when dealing with private attorneys and other law enforcement agencies for execution of summons and complaints and service of civil process
  • Receives “served” documents, effects Affidavit of Service, and distributes to proper persons and/or departments, agencies, and attorneys
  • Determines amount to be billed and documents
  • Generates and distributes bills for Civil Process Division services
  • Transcribes and types reports of process servers and process coordinators
  • Monitors the accounts of civil process receipts for past‑due accounts
  • Schedules and coordinates Sheriff’s sales such as foreclosures and recovered property
  • Prepares letters of notification, posts and/or publishes notices of public auction and sale, receives affidavits of same, prepares execution orders and clerk's sale procedure
  • Receives monies and documents for deposit, submits vouchers for payment, prepares Sheriff’s Deed and coordinates paperwork for court after sale including tax forms for recording
  • Drafts odometer validation statement, provides certified copy of execution, drafts Sheriff’s bill of sale, and drafts letter of instruction for obtaining title and registration for vehicles
  • Provides general clerical support and backup to Administrative Services Division Staff, performing such duties as typing, transcription, data entry, answering telephone, reception, photocopying, filing, or other related duties as assigned or directed, notarizes documents for Sheriff's Office
  • Performs duties to process any action requiring immediate response, such as notifying officers if court date is called off
  • Performs other related duties as assigned
Qualifications
  • High School diploma or its equivalent (GED)
  • Three (3) or more years of previous full‑time administrative support experience including record keeping, information dissemination, and legal process and terminology
  • Proficiency in personal computer use with Microsoft Office software
  • Keyboarding skills of 55 wpm
Desired Training And Professional Experience Qualifications
  • Appointment will be conditional upon successful completion of a criminal background check
  • Eligibility for State of Wisconsin Notary Certification
