Job summary

The Management Trust is seeking a Community Support Specialist in Thousand Oaks, CA to provide exceptional customer service and administrative support to internal and external clients. The role involves managing complex work orders, ARC requests, and amenity coordination while supporting CAMs and ACAMs.

Responsibilities include tracking status, documenting actions, coordinating with vendors, and ensuring accurate records across community systems.

Qualifications

  • High School Diploma (or equivalent); Associate’s Degree preferred.
  • Proficiency in administrative support – typically 1–4 years depending on level.
  • Experience with Microsoft Office suite.
  • Ability to identify and prioritize tasks.
  • Ability to multi-task and support multiple communities with varying rules.
  • Conflict resolution skills and strong communication.
  • Highly organized with attention to deadlines.
  • Professional and respectful demeanor with internal and external customers.

Responsibilities

  • Receive customer calls and answer questions about work orders, ARC requests, or Association responsibilities.
  • Maintain current community information in the appropriate system.
  • Manage complex Work Orders requiring committee or board approval and vendor coordination.
  • Document actions with system notes.
  • Archive and log documents for off-site storage annually.
  • Process compliance notices and add fines/hearings per guidelines.
  • Review and process complex ARC applications and track timelines.
  • Maintain homeowner records and issue access devices (keys, fobs, passes).
  • Coordinate with service providers for access or parking enforcement.
  • Support in updating Association information and document libraries.
  • Assist with ad-hoc community tasks and special projects.
