Qualifications

  • High school diploma or equivalent required.
  • Associate or bachelor's degree in business, communications, marketing, healthcare administration, or related field preferred.
  • Experience in administrative, sales, marketing, customer-service, payroll, HR, or business-office roles preferred.
  • Senior living, assisted living, healthcare, or residential-care experience preferred.
  • Strong organization and attention to detail.
  • Ability to manage multiple responsibilities and changing priorities.
  • Must pass health and background requirements.
  • Valid driver's license and reliable transportation required.

Responsibilities

  • Assist with prospective resident inquiries, tours, follow-up, deposits, and move-ins.
  • Maintain accurate lead, referral, tour, and follow-up information.
  • Explain community services, amenities, availability, and move-in process to prospective residents.
  • Gather and organize move-in documents and residency paperwork.
  • Support outreach, open houses, referral relationships, and marketing events.
  • Prepare marketing materials, correspondence, and community communications.
  • Build relationships with prospective residents, families, and referral partners.
  • Support occupancy goals through timely communication and follow-through.
  • Provide administrative support to the Business Office Manager.
  • Assist with resident account documentation, billing records, deposits, and payment information.
  • Support accounts receivable and accounts payable processes.
  • Assist with payroll preparation, timecard review, and attendance records.
  • Maintain employee records, onboarding documents, credentials, and required documentation.
  • Prepare reports, spreadsheets, and other administrative documents.
  • Maintain confidential resident, employee, and financial records.
  • Follow established financial controls and approval processes.
  • Help coordinate upcoming move-ins, move-outs, transfers, and apartment changes.
  • Prepare welcome materials and coordinate move-in details.
  • Provide professional and responsive customer service to residents and families.
  • Maintain a welcoming and helpful presence throughout the community.
  • Treat residents with dignity, compassion, respect, and patience.
  • Respond to questions and direct concerns to the appropriate department leader.
  • Help create a positive experience from first interaction through move-in.
  • Work collaboratively with the Community Relations Director, Business Office Manager, Executive Director, and other department leaders.
  • Assist with community events, resident activities, and front-desk coverage when needed.
  • Participate in required meetings, training, and in-service education.
  • Maintain regular, reliable, and punctual attendance.
  • Demonstrate professionalism, accountability, teamwork, and a willingness to learn.
  • Protect confidential resident, employee, financial, and health information.

Position Overview

The Community Relations & Business Office Coordinator provides administrative, sales, marketing, and business-office support to the Community Relations Director and Business Office Manager.

This position assists prospective residents and families throughout the inquiry, tour, follow-up, and move-in process while also supporting resident accounts, payroll preparation, employee records, accounts payable, and general office administration.

The ideal candidate is organized, dependable, detail-oriented, compassionate, and comfortable balancing multiple responsibilities in a senior living environment.

Key Responsibilities
Community Relations & Marketing
  • Assist with prospective resident inquiries, tours, follow-up, deposits, and move-ins
  • Maintain accurate lead, referral, tour, and follow-up information
  • Help prospective residents and families understand community services, amenities, availability, and the move-in process
  • Assist with gathering and organizing move-in documents and residency paperwork
  • Support community outreach, open houses, referral relationships, and marketing events
  • Assist with preparing marketing materials, correspondence, and community communications
  • Build positive relationships with prospective residents, families, and referral partners
  • Support occupancy goals through timely communication and consistent follow-through
Business Office & Administrative Support
  • Provide administrative support to the Business Office Manager
  • Assist with resident account documentation, billing records, deposits, and payment information

  • Help maintain employee records, onboarding documents, credentials, and required documentation

Schedule & Availability
  • Regular schedule will be established based on community needs
  • Occasional evening or weekend availability may be required for tours, events, move-ins, or other community needs
  • Overtime or work outside the assigned schedule requires advance supervisor approval except in an emergency
  • Regular, dependable, and punctual attendance is an essential expectation of the position
