Job description

Position Function: The Coworking Coordinator will be responsible for managing the operations and delivering a high level of service to guests of the Coworking Space in Central Pacific Plaza. The position will also support marketing initiatives for the Coworking Space including events and other promotional opportunities.

Performs all duties and interacts with internal and external customers in a manner that is expressly aligned with the Company's Core Values of approaching all actions with a “Voyaging Spirit” and being “Positively Ohana”. Primary Accountabilities
  • Customer Service: Provide concierge level of service to meet the expressed and unexpressed needs of internal and external customers to create a consistent positive experience. Act as primary contact for designated spaces and ensure all guests receive excellent service from point of initial contact through conclusion of meeting or event (e.g., greet and check people in, assist users of meeting rooms as needed, handle reception / host servicing duties during meetings, reset rooms, conduct follow-ups if needed, etc.).
  • Execution of Standard Operating Procedures: Manage daily operations of designated space. Work with the team to coordinate internal resources to ensure proper coverage, serve as point of contact on all matters pertaining to operations and support maintenance issues/requests. Responsibilities include but are not limited to: managing all space-related logistics – reservations, scheduling, prepping in-house Audio & Visual services, handling food and beverage catering services for small on-site meetings, and working with designated vendor partners to ensure larger meetings and events are properly managed. Diligently organize, prepare, and clean/sanitize spaces.
  • Events/Support: Proactively identify and resolve issues with professionalism and patience to ensure minimal disruption(s). Support team with smaller events as needed. For larger events, work with vendor partners to ensure all logistics are coordinated and events are professionally executed. Assist team with community engagement event planning as needed.
  • Liaise with Internal Departments, Coworking Partners and Guests
  • Identify current and future needs to assist with target market relationship-building.
  • Collaborate with internal clients to host informational seminars or other events.
  • Work with the appropriate internal departments and third-party vendors to accomplish promotional and operational tasks.
  • Develop strong working relationships within coworking partners to provide valuable business connections for guests.
Minimum Qualifications

Education:

  • High School Diploma or GED equivalency required.
  • Bachelor’s Degree from an accredited 4-year university preferred.

Experience:

  • 2+ years of experience in customer service required.
  • 1+ years of experience in event planning preferred.
Physical Requirements & Working Conditions
  • Must be able to perform light physical work and to move or lift items including but not limited to boxes, files and papers up to 20 pounds unless otherwise as indicated.
  • Must be able to operate and proficiently use standard office equipment, including phone, copier, personal computer and/or other work related mechanical or electronic devices and applications.
  • Must be able to clearly communicate verbally and in writing with all internal and external customers. Must also be able to hear sufficiently to engage in daily discussions and interactions.
  • Must be able to read and understand bank-related documents.
  • Must be able to work in a conventional office setting, involving sitting at a desk or workstation for long periods of time. Must also be able to adapt to different work environments as needed to perform the job.
