What this job involves

The Community and Onboarding Experience Manager serves as the connective tissue between an employee's first impression and their ongoing daily experience. This role blends critical onboarding operations with hands‑on community hospitality, ensuring that new hires feel welcomed from Day 1 and that all employees experience a workplace environment that is engaging, responsive, and operationally seamless. As the onsite ambassador and remote onboarding facilitator, you will orchestrate the full employee journey, from pre‑hire coordination and Day 1 orientations to daily workplace activations and community programming. You will balance high‑touch hospitality with behind‑the‑scenes content management, graphic design, and cross‑functional collaboration to create a cohesive, branded, and human‑centered employee experience, and act as a connector across teams, ensuring ownership is clear and handoffs are seamless throughout the onboarding journey.

Your day‑to‑day tasks will include:
Onboarding Program Coordination
  • Coordinate all new hire onboarding activities, logistics, and welcome swag distribution across multiple time zones.
  • Add new hires to orientation sessions and communication channels, tracking attendance and engagement throughout the onboarding journey.
  • Partner with hiring managers and cross‑functional teams to ensure all pre‑onboarding tasks are completed prior to Day 1.
  • Facilitate virtual onboarding sessions and serve as the primary point of contact for new hire questions, logistics, and early‑stage troubleshooting.
  • Comfortable facilitating live and virtual sessions, presenting to groups, and adapting communication style for different audiences and levels of the organization.
  • Monitor and maintain new hire Slack channels to welcome employees, answer questions proactively, and foster early community connections.
  • Serve as a voice of the employee and new‑hire experience, identifying recurring questions, friction points, and opportunities to improve onboarding, workplace programming, communications, and resources.
Onsite Community & Workplace Experience
  • Serve as the primary hospitality anchor onsite, greeting and assisting employees, guests, and vendors while resolving day‑to‑day workplace needs.
  • Build and nurture onsite community by identifying opportunities for connection, belonging, and engagement based on employee needs, workplace rhythms, and business priorities.
  • Conduct routine walkthroughs to ensure workplace readiness across meeting rooms, collaboration areas, kitchens, and common spaces.
  • Coordinate and execute onsite community programming, employee engagement activations, and event logistics from setup to post‑event reset.
  • Submit, track, and follow up on workplace service requests and work orders through ticketing systems, collaborating closely with Facilities and AV/IT teams.
Content Management, Communications & Design
  • Update and maintain new hire materials including onboarding session calendars, presentation slide decks, and employee‑facing resources to ensure accuracy, relevance, and brand consistency.
  • Draft and distribute clear, engaging workplace communications regarding events, amenities, building updates, service interruptions, and onboarding announcements.
  • Create graphics for employee experience events, promotions, and onboarding materials using design tools such as Canva, Adobe Creative Suite, or Figma.
  • Maintain brand consistency across all employee‑facing communications, materials, and physical touchpoints.
Operational & Budget Management
  • Manage site‑level budgets for supplies, amenities, onboarding swag, and small‑scale programming while maintaining accurate inventories and site documentation.
  • Translate employee feedback, participation trends, and onboarding insights into recommendations and measurable experience improvements.
Required Qualifications

Experience & Skills 2+ years of experience in employee onboarding, community management, hospitality, HR operations, or a customer‑facing workplace role. Strong written and verbal communication skills, with a proven ability to communicate effectively with employees, hiring managers, vendors, and cross‑functional partners. Demonstrated ability to work independently, identify needs proactively (both onsite and in virtual onboarding contexts), and take ownership of tasks through resolution. Excellent organizational and project management skills with the ability to manage multiple priorities in a fast‑paced environment. Strong graphic design skills with proficiency in design tools such as Canva, Adobe Creative Suite, or Figma. Technical Competencies Proficient in Google Workplace and Microsoft Office Suite. Experience with Slack or similar collaboration platforms for community management and new hire engagement. Comfortable learning and navigating multiple HR systems, ticketing platforms, visitor management systems, and AI tools. Strong attention to detail in content creation, editing, and operational documentation. Communication & Collaboration Strong interpersonal skills and a customer service mindset with a focus on creating positive, human‑centered employee experiences. Ability to build rapport quickly with diverse stakeholders, including new hires, onsite employees, facilitators, and vendors. Strong ability to balance high‑touch hospitality with day‑to‑day operational, administrative, and content management responsibilities.

Preferred Qualifications
  • Bachelor's degree in hospitality, business, communications, human resources, or a related field.
  • Experience with content management systems (Contentful experience highly preferred).
  • Prior experience planning, tracking, and executing employee events, community engagement programs, or training initiatives.
  • Experience coordinating vendors, workplace services, or facilities‑related activities.
  • Familiarity with tracking event participation metrics, collecting employee experience feedback, and analyzing onboarding engagement data.
  • Familiarity with HRIS systems (Workday, BambooHR, etc.).
  • Previous experience in a fast‑paced, high‑growth, or remote‑first environment.

Location: On‑site –Phoenix, AZ
