JOB QUALIFICATIONS:

Education: High school diploma or equivalent required. Supplemental secretarial coursework is preferred.

Certification or Licensure: None is required.

Skills: Requires good interpersonal and public relations skills. Ability to perform clerical skills, such as typing, word processing, filing, and answering phones. Knowledge of basic office machines. Demonstrated skills in oral and written communication. Demonstrated skills in organization, initiative, and problem-solving. Ability to demonstrate technology skills and display a knowledge of general clerical duties and reception as needed.

Work Experience: Computer and/or office experience/training preferred.

PRIMARY DUTY:

This position is responsible for performing general office work in the Communications Department. The work consists of varied general office duties involving skilled operation of office equipment, standard office procedures, and responsible contacts with department members and parents. Workers maintain and type reports, answer phones, and take messages, photocopy and assemble materials, and maintain files.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Performs general administrative assistant duties.
  • Serves as the receptionist. Greets visitors courteously and professionally
  • Provide information and handle routine business associated with a busy, productive, and smoothly run office
  • Prepares and maintains correspondence for the Director of Communications.
  • Prepares and maintains correspondences for the Communications Specialist
  • Maintains confidentiality of sensitive information and materials; adheres to a chain of command
  • Monitors the Director’s e-mail, as requested.
  • Keeps director’s calendar
  • Receives and returns telephone calls on behalf of the Director of Communications as requested using high-standard telephone techniques
  • Prepares official reports and proposals as needed.
  • Prepares policy and procedure manual/handbook for the department.
  • Assists with the creation of agendas, pamphlets, and other publications for the Richmond County School System, as needed.
  • Maintains Communications staff schedules
  • Informs staff of interdepartmental meetings.
  • Schedules site locations for department meetings and professional development activities.
  • Serves as a backup contact person for department telephones.
  • Keeps records of contract personnel
  • The employee shall carry out such other and further duties, whether specifically listed above or not, as are assigned or required by such employee’s supervisor, other appropriate school personnel, law board policy administrative regulation, department handbook, as are reasonably necessary to the efficient operation of the school system and its mission.
