Position Summary

The Commissions Associate supports the firm’s Compensation and Advisor Services functions with a primary focus on advisor support, commissions processing and reconciliation, compensation reporting, 1099 advisor payroll coordination, wire transfer administration, and maintenance of representative data within the firm’s CRM. This role requires strong attention to detail, financial accuracy, analytical skills, a service-oriented approach when supporting advisors, and advanced proficiency in Microsoft Excel to perform complex reconciliations, analyze compensation and production data, and maintain reporting dashboards. The ideal candidate is highly organized, capable of managing multiple priorities, and committed to maintaining accurate compensation and advisor records in a fast-paced financial services environment.

This role will be located in our Wilmington, DE office location.

Key Responsibilities
  • Serve as a primary resource for financial advisors and representatives regarding commission inquiries, payout calculations, statement questions, adjustments, compensation policies, and related support requests.
  • Prepare, review, and maintain commissions reports and statements, ensuring the accuracy of trade activity, payout calculations, compensation structures, and advisor compensation records.
  • Reconcile commissions data across custodians, clearing platforms, payroll systems, and internal databases; research and resolve discrepancies in coordination with Operations, Finance, and Accounting teams.
  • Support processing of 1099 advisor payroll, including compensation validation, payment preparation, reconciliation, and coordination with Finance and payroll providers.
  • Initiate and coordinate advisor-related wire transfers in accordance with firm procedures and controls, including verification, documentation, approvals, and communication with internal and external stakeholders.
  • Maintain accurate representative and compensation-related records within the firm’s CRM, including compensation attributes, licensing information, contact data, workflow assignments, and advisor profile updates.
  • Conduct periodic data-quality reviews and audits to ensure the accuracy and completeness of advisor, compensation, and reporting data.
  • Maintain commissions logs, payroll records, supporting documentation, and audit-ready files to support internal reviews, financial reporting, and regulatory requirements.
  • Monitor workflow queues and advisor support requests, ensuring timely responses, issue resolution, and proactive communication.
  • Assist with compensation reporting, production reporting, dashboards, and analytics related to advisor performance, payout trends, and business metrics.
  • Support implementation of compensation plan changes, payout adjustments, and advisor communications related to compensation programs.
  • Assist with process improvements, system enhancements, automation initiatives, and documentation of compensation procedures, workflows, and data standards.
  • Collaborate with Operations, Finance, Compliance, Advisor Relations, and other business partners on cross-functional compensation, reporting, and advisor support initiatives.
  • Support advisor recruiting initiatives by developing relationships with prospective financial advisors and partner closely with Compliance, Operations, Finance, Technology, and custodial partners to ensure timely completion of transition milestones and resolution of outstanding items.
  • Maintain accurate recruiting and transition records within CRM and workflow management systems, providing regular reporting on pipeline activity, onboarding status, and key performance indicators.
Qualifications
  • Bachelor’s degree in Finance, Accounting, Business, or a related field preferred; equivalent financial-services experience may be considered.
  • 3+ years of experience in broker/dealer, RIA, compensation operations, commissions administration, payroll processing, accounting, or financial operations.
  • Strong analytical, reconciliation, and problem-solving skills with exceptional attention to detail and accuracy.
  • Experience supporting advisor compensation programs, commissions processing, payroll administration, or related financial operations preferred.
  • Familiarity with CRM platforms (Sycamore preferred), compensation systems, payroll systems, and reporting tools.
  • Advanced proficiency in Microsoft Excel, including complex formulas, pivot tables, lookups, data reconciliation, reporting automation, and analysis of large datasets. Experience building and maintaining operational, compensation, or management reporting is strongly preferred.
  • Excellent communication and customer-service skills with the ability to effectively support advisors and internal stakeholders.
  • Ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment.
