Job summary

Flexential is seeking a Commercial Operations Associate to support the end-to-end NRC quoting process, create purchase orders, and analyze vendor quotes. You will collaborate with Sales, Finance, Procurement, Product and Operations to drive cost recovery and project cost accuracy.

This role emphasizes accurate cost tracking, applying standard markup, and reporting on quote cycle times and cost variances to drive continuous improvement.

Responsibilities

• Manage full lifecycle NRC quoting from requirements validation to delivery to Sales.
• Ensure quotes meet internal standards, margins, and contractual obligations.
• Partner with Operations to validate technical accuracy and feasibility.
• Create and submit purchase orders for equipment, materials, and services.
• Track PO status, receipts, and delivery milestones.
• Coordinate with Finance and Procurement to resolve discrepancies.
• Review vendor proposals for accuracy and alignment with scope.
• Compare pricing, terms, and lead times for cost-effective sourcing.
• Identify variances or cost risks and elevate recommendations for approval.
• Conduct true-up analysis of estimated vs. actual costs.
• Apply standardized markup to ensure full cost recovery and margin protection.
• Document and communicate final cost settlements to stakeholders.
• Update financial systems as required.
• Work with Sales, Finance, Operations to improve quoting accuracy.
• Support process improvements and documentation within Commercial Operations.
• Maintain records of quotes, vendor data, POs, and true-up documents.
• Prepare reporting on quote cycle times, cost variances, and PO trends.

The Commercial Operations Associate is responsible for supporting the end to end Non-Recurring Charge (NRC) quoting process, managing purchase order creation, and conducting detailed vendor quote analysis. This role ensures accurate cost recovery through true-up processes and standardized markup. The Associate works cross functionally with Sales, Finance, Procurement, Product and Operations to drive operational efficiency, financial accuracy.

Key Responsibilities and Essential Job Functions

• Manage full lifecycle NRC quoting, including requirements validation, scoping, pricing, and timely delivery to Sales.
• Ensure quotes comply with internal standards, margin requirements, and contractual obligations.
• Partner with Operations teams to validate technical accuracy and feasibility.
• Create and submit purchase orders for equipment, project materials, and vendor services aligned to approved quotes and budgets.
• Track PO status, receipt, and delivery milestones to ensure timely project execution.
• Coordinate with Finance and Procurement to resolve discrepancies or exceptions.
• Review and analyze vendor proposals for accuracy, completeness, and alignment with project scope.
• Compare vendor pricing, terms, and lead times to ensure cost-effective sourcing decisions.
• Identify variances or cost risks and elevate recommendations for approval.
• Conduct true-up analysis to reconcile estimated vs. actual project costs.
• Apply standardized markup structures to ensure full cost recovery and margin protection.
• Document and communicate final cost settlements to internal stakeholders and update financial systems as required.
• Work closely with Sales, Finance, Operations teams to improve quoting accuracy and streamline commercial workflows.
• Support process improvements and documentation within the Commercial Operations function.
• Maintain accurate records of quotes, vendor data, PO's, and true-up documents.
• Prepare reporting on quote cycle times, cost variances, and PO trends to support leadership insights and continuous improvement.

Base Pay Range

The annual salary range offered for this position is estimated to be $67,000 - $77,000. However, the actual pay range depends on each candidate’s experience, location, and qualifications.

Variable Pay

Discretionary annual bonus, based on personal and company.
