Davidson Auto Group seeks a driven Commercial Fleet Bid Coordinator to drive business development by finding and writing bids, creating quotes, and tracking bids and paperwork for fleet vehicles across Central New York.

The role involves coordinating with the commercial sales team, registering the company as a vendor, and maintaining bid status from order to delivery while ensuring compliance and timely communications with fleet managers and public works.

• Register the company as an approved vendor in Central New York.
• Reach out to fleet managers and public works to get added to bid lists.
• Build quotes for fleet upfitting configurations.
• Request and compare quotes.
• Log every bid and track contract renewals and bid cycles.
• Track units from order to delivery and keep customers updated.
• Prepare purchase orders, delivery packets, invoices, and tax-exempt documents.

Davidson Ford Pro Elite Commercial Center is expanding and we’re looking for a driven Commercial Fleet Bid Coordinator to help drive business development and growth! Our commercial center sells and services vehicles for fleet companies, school districts, police and government municipalities, contractors and more across Central New York. This position is responsible for finding and writing bids, creating vehicle and upfitting quotes, track current bids, and handling the paperwork for the bids and vehicles.

Hours: Monday - Friday, 8:30am - 5:00pm

Pay Range: $47,000 - $57,000+/yr

Responsibilities:

• Monitor various bid and contract portals for potential opportunities.
• Write and assemble bids or contract responses including company qualifications, service and warranty support, delivery plans, and references.
• Gather required forms, certifications, bonds, affidavits, and vendor registrations.
• Work with the commercial sales team to recommend bids based on a number of factors.
• Register the company as an approved vendor across Central New York.
• Reach out to fleet managers, purchasing agents, and public works to introduce our company and get added to bid lists.
• Build quotes for different fleet upfitting configurations.
• Request and compare quotes.
• Log every bid.
• Keep track of upcoming contract renewals and repeat bid cycles.
• Track each unit from order through delivery to keep customers updated on the status.
• Prepare purchase orders, delivery packets, invoices, and tax-exempt documents for municipal and fleet deliveries.
• Other duties as assigned.

Required Skills:

• Excellent verbal and written communication skills.

• Strong time management skills with the ability to manage multiple deadlines.
• Must be at least 18 years of age with a high school diploma or GED.
• Must have a valid Driver’s License.

Preferred Skills:

• At least 1 - 3 years of experience working in a bid writing, government bidding, purchasing, proposal, sales support, or dealership office role.
• Previous experience with VinSolutions, DMS systems, or bid portals.
