Job summary

BeaconMedaes seeks a Commercial Contracts Coordinator to join our Rock Hill, SC team. This role will support customers by managing commercial terms, documentation, and contract negotiations to ensure timely execution and risk mitigation.

The position emphasizes collaboration with project management, legal and senior leadership, and a focus on accuracy, governance, and excellent service levels.

Qualifications

• Customer Service/Office administration experience/understanding of selling and order processes.
• Four year college degree preferred; 2 year degree with related work experience

Responsibilities

• Understand the company's business and engage with internal and external customers.
• Maintain client relations and foster teamwork and problem solving.
• Ensure documentation for commercial terms or contract review is complete.
• Review and negotiate commercial terms or contracts per policy; revise PO terms for service/equipment orders.
• Obtain signatures/approvals on purchase orders and agreements per policy.
• Coordinate with project management for timely agreement negotiation and execution.
• Negotiate master agreements with repeat customers.
• Track contract authorizations and correspondence; communicate status to staff.
• Administer contract revisions per policies and procedures.
• Support field and customer center on terms processes and requirements.
• Assist AR with contract terms for accounts receivable.
• Maintain insurance certificate files.
• Mitigate risk by requesting COIs within insurer limits.
• Handle special projects as assigned by management.
• Act as proactive role model and maintain communications with all stakeholders.

Your role

BeaconMedaes, located in Rock Hill, South Carolina, is currently seeking a qualified Commercial Contracts Coordinator to join our team. As a Commercial Contracts Coordinator, you will provide our customer base the highest possible service level to ensure that we remain first in mind and first in choice. You will contribute to positive company branding by projecting a knowledgeable, professional, and customer oriented image to customers and colleagues.

The position will be based at our Rock Hill, SC location.

Responsibilities Are Focused On The Following

• Develop a thorough understanding of and familiarity with the company's business, its people, products, markets, facilities, customers and competitors and utilizes that knowledge in working with internal and external customers
• Maintain and continually strives to improve internal client relations by building credibility and creating an atmosphere of positive teamwork and problem solving
• Ensure completeness of documentation submitted for commercial terms or contract review
• Examine, review, reconcile, negotiate commercial terms or contract per prokura, and revise purchase order commercial terms of sale for service and equipment orders
• Obtain signatures and approvals on purchase orders and agreements in accordance with company policy
• Ensure timely negotiation and execution of agreement for commercial contract by coordinating with project management and coordinators
• Directly negotiating commercial terms conflicts with customers.
• Consulting with our legal department and/or senior management on areas of major concern or significant financial risk as part of the commercial terms review and negotiation.
• Work to negotiate master agreements with repeat customers.
• Track authorizations and correspondence related to commercial contract
• Prepare and disseminate information to appropriate employees regarding contract status
• Administer commercial terms or contracts revisions in compliance to business policies, procedures, and practices
• Support and guide field and customer center personnel on commercial terms processes and requirements
• Provide commercial terms or contract support to customer center teams including accounts receivable group
• Maintain detailed and organized customer and certificate of insurance files
• Analyze and mitigate risk by requesting certificates of insurance within the limits covered by Atlas Copco’s insurance broker, Marsh
• Special projects as assigned by management
• Perform all duties in accordance with BeaconMedaes standards, while always striving to understand the needs and expectations of the customer
• Work to be an example of a proactive positive role model, taking seasoned measured action deemed appropriate and required to get the job done, and to establish and maintain communications with all necessary people/employees.

To succeed, you will need

Experience

• Customer Service/Office administration experience/understanding of selling and order processes.

Education

• Four year college degree preferred; 2 year degree with related work experience
