Position

College Assistant

Overview

Position reports to the Associate Director of the Nanoscience Initiative and works closely with the Administrative Coordinator. Responsibilities include purchasing, payment, reimbursement, budgeting, and financial record keeping for the Initiative’s labs, core facilities, and funded programs.

Responsibilities
  • Assist with purchasing, payment, reimbursements, and budgeting across the Initiative’s four research labs, three core user facilities, CAT-sponsored industry research, and NSF-funded NanoBioNYC traineeship program.
  • Organize and maintain financial records and tracking systems for submitted invoices, payments, and purchasing requests.
  • Provide regular budget updates on research projects.
  • Communicate with internal and external stakeholders (vendors, suppliers, etc.) to complete payments in a timely manner.
  • Perform miscellaneous clerical, administrative, and research duties: answer and attend telephone calls, maintain records, operate office machines, sort and distribute mail, issue keys and identity cards, act as messenger, type letters, memoranda, charts, and other documents, act as cashier, assist in statistical or research activities, perform clerical library work, and assist in instructional programs such as tutoring, speech and hearing therapy, musical accompaniment, or physical education equipment distribution.
  • Enter and maintain departmental records such as inventory control, rosters, directories, and schedules.
  • Operate computers, software, and other electronic equipment as required.
  • Perform additional related duties as assigned.
Work Schedule

Part‑time, total 416 hours per year (approximately 8 hours per week). Hybrid role; the incumbent will work on‑site and remotely, with an expectation of 80% of work time on campus.

Minimum Qualifications
  • Demonstrated sufficient skills to perform assigned tasks.
Preferred Qualifications
  • Bachelor’s degree or status as a full‑time student enrolled at a CUNY college.
  • Interest in STEM education.
  • Experience in budgeting and data management (Excel, Google Workspace, Dropbox, Workday, etc.).
  • Exceptional organization skills and strong attention to detail.
  • Self‑motivation to initiate projects aligned with the Initiative’s vision.
  • Ability to communicate and collaborate effectively in multi‑faceted projects.
  • Professional, welcoming attitude with eagerness to assist students, staff, and guests.
Compensation

$21.24 per hour.

CUNY provides a comprehensive benefits package, pension, and tax‑deferred savings plans. Part‑time employees are eligible for health benefits if they meet the weekly or semester work‑hour criteria. Health benefits are also extended to retirees who meet eligibility.
