Builder Circle is seeking a Collections & Default Manager to own the borrower collections process from first missed payment through resolution, including default, when it occurs. This person will monitor the delinquency pipeline every month on an ongoing basis, drive borrower outreach and payment resolution, and manage the workout process (up to and including deed-in-lieu and other default remedies) for loans that do not cure. This is the process owner for collections company-wide, and should bring the people-management and mentoring experience needed to build and lead the collections team as it grows. Ideal candidates have run collections and default workouts in the residential transition loan (RTL) or hard-money construction lending space and know how to move an account through every stage, from a friendly reminder call to a decision to refer to an outside debt collector or attorney.
Key Responsibilities:
- Collections Ownership:
- Monitor the past-due / delinquency report each month and take ownership of every delinquent account from day one of missed payment.
- Conduct outbound borrower calls and emails to resolve missed payments, and document every contact.
- Determine the appropriate escalation path and timing for each account — continued in-house collections vs. referral to an outside debt collector or attorney.
- Ensure every delinquency notice and regulatory communication is sent on the timeline required by the applicable state’s laws.
- Default & Workout Management:
- Own accounts that progress into default, including structuring and negotiating workouts, forbearance, and deed-in-lieu agreements.
- Coordinate the handoff of properties that move to REO, including required documentation and status reporting to leadership.
- Manage lien releases and physical loan file handling associated with default and payoff scenarios in the RTL / construction-loan context.
- Team Leadership & Process Ownership:
- Serve as the functional owner of the collections process company-wide, setting the standard for how delinquent and default accounts are handled.
- Mentor, train, and eventually manage additional collections staff as the team grows.
- Systems & Process:
- Build and maintain the collections and default workflow in Salesforce, including account status tracking, call/contact logging, and standardized documentation.
- Recommend and implement collections best practices, including communication cadence and templates.
- Continuously identify and implement process improvements as loan volume and headcount scale.
- Reporting & Compliance:
- Prepare monthly delinquency, workout, and default status reports for leadership.
- Maintain compliance with state collection laws, regulatory notice requirements, and borrower consent/privacy rules.
- Support audits by ensuring collections and default files are accurate and complete.
Qualifications:
- Education: Bachelor’s degree in finance, business, or a related field preferred.
- Experience:
- 8–12 years of experience in collections, default servicing, or loss mitigation is strongly preferred.
- Direct experience with residential transition loans (RTL), hard-money, or construction/rehab lending is highly preferred.
- Demonstrated experience managing accounts through default, including deed-in-lieu and workout negotiations.
- Prior experience managing, mentoring, or training team members within a collections, servicing, or similar operations function is required — this person should be equipped to own and eventually lead the collections team as it grows.
- Experience with FCI and Salesforce are a plus, though not required.
- Skills:
- Strong knowledge of state-specific collection and delinquency notice requirements.
- Excellent negotiation, communication, and interpersonal skills; comfortable with a high volume of outbound borrower contact.
- Highly organized, with the judgment to know when an account should be escalated versus continued in-house.
- A motivated, self-driven individual who can work independently, prioritize responsibilities, and proactively solve problems is essential.
- Knowledge: Comprehensive understanding of collections processes, default remedies, lien releases, and loan file management within a real estate lending environment.
