Job summary

University of Massachusetts Amherst Libraries seeks a Collections Logistics Manager in Amherst to lead physical collections operations, coordinate workflows for movement, storage, and lifecycle management of physical materials. Qualifications

Responsibilities

  • Manage, train, and schedule staff and student assistants assigned to physical collection management and project work; assign tasks and evaluate performance.
  • Develop, implement, and oversee space-allocation planning for efficient shelving and off-site storage.
  • Coordinate movement of physical materials between locations and organizations.
  • Oversee inventory programs and quality control for shelving of materials.
  • Support Metadata Department ensuring item-level holdings, barcodes, locations, and status are accurate.
  • Ensure compliance with Federal Depository Library Program and related agreements.
  • Manage storage space and workflows for media and print archival formats.
  • Oversee physical processing on new materials.
  • Serve on the library disaster response team including risk assessment and recovery.
  • Coordinate material preservation and triage of damaged materials.
  • Oversee storage and retrieval of UMass materials in off-site storage; collaborate with Five College Consortium.
  • Manage vendor relationships for physical collection-related services.
  • Oversee preparation of materials for external processing or digitization.
  • Produce operational reports and maintain project/workflow documentation.
  • Transport and deliver library materials between locations as needed.

Job Summary

The Collections Logistics Manager leads and coordinates the Libraries’ physical collections operations and collections-related logistics. The role oversees planning and implementation of workflows supporting the movement, storage, preservation, access, and lifecycle management of physical materials. Working collaboratively across the Libraries and with external partners and vendors, the Manager provides project management, supervises staff, manages risk and contingency planning, maintains vendor relationships, and documents procedures.

Essential Functions
  • Manage, train, and schedule staff and student assistants assigned to physical collection management and project work; assign tasks and evaluate performance.
  • Develop, implement, and oversee short- and long-term planning of space-allocation strategies to ensure efficient use of library shelving and off-site storage in consultation with the Associate Dean and other stakeholders.
  • Coordinate movement of physical materials including transfers between locations and organizations, large-scale shelf shifts, and deaccessions.
  • Oversee inventory programs and quality control for shelving of materials.
  • Support the Metadata Department in ensuring that item-level holdings, barcodes, locations, and status are accurate in the Library Services Platform.
  • Ensure compliance with Federal Depository Library Program, retention agreements (e.g. Five Colleges and EAST), and related collection maintenance requirements.
  • Manage storage space and workflows for media and print archival formats.
  • Oversee physical processing on new materials.
  • Serve on the library disaster response team including participation in risk assessment, preparedness planning, emergency response, and recovery for physical collections.
  • Coordinate material preservation and triage of damaged materials.
  • Oversee storage and retrieval of UMass materials in off-site storage and collaborate with the Five College Consortium on shared policies and operational processes associated with the Five College Library Repository and its collection.
  • Manage and maintain vendor relationships for physical collection-related services including direction of work and contractor performance monitoring.
  • Oversee preparation of materials for external material processing or digitization.
  • Produce operational reports and maintain project and workflow documentation.
  • Transport and deliver library materials between library locations, storage facilities, and other sites as needed.
Other Functions
  • Support gift-related workflows for physical gifts and donations, in partnership with Development and Special Collections as needed.
Minimum Qualifications
  • Bachelor’s degree
  • Three or more years of experience with employee or student supervision.
  • Three or more years of experience with managing operations and/or inventory of physical materials.
  • Familiarity with integrated library systems or library services platforms.
  • Ability to work with and manage large data sets.
  • Strong problem solving and organizational skills.
  • Ability to work cooperatively within teams and maintain constructive working relationships.
  • Ability to position, lift, or move bulky equipment or materials weighing 30 to 60 pounds.
  • Must possess a valid driver’s license to perform duties requiring travel between library locations, storage facilities, and partner sites.
Preferred Qualifications
  • Certification or training in project management.
  • Experience with FOLIO.
  • Experience with government documents or Federal Depository Library Program.
  • Experience working with non-print library media.
  • Knowledge of library preservation and disaster response techniques.
Additional Details

This position requires in‑state travel and off‑site responsibilities.

Working Conditions

Work is performed in a standard office or indoor university environment and involves minimal physical exertion.

Salary Information

Pay Grade: PSSAP Grade 27
