Job summary

Harvard Business School seeks a Coaching & Programs Coordinator to lead the administration of coaching platforms and to manage MBA and Alumni coaching program operations. You will coordinate invoicing, onboarding, communications, and staffing for Coach-on-Call and annual Coach Training events.

The role covers MBA programming, resume reviews, interview practice, and event management. A hybrid Boston-based position, with on-site presence required several days weekly.

Qualifications

  • High School Diploma, GED, or equivalent is required.
  • 5+ years of experience in administrative support roles is required.
  • Education beyond high school may count toward experience.
  • Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.

Responsibilities

  • Serve as the primary administrator for coaching platforms used by MBA and Alumni Coaching Programs (Fieldglass, 12twenty, CareerLeader, Qualtrics, Teams, SharePoint).
  • Manage weekly coach invoicing for 50+ coaches, schedule 5+ annual Peer Review Zoom meetings, and support coaches with ongoing communications.
  • Onboard new coaches via Zoom, provide event information, and respond to coaching-related inquiries from the CPD mailbox.
  • Coordinate staffing for Coach-on-Call, hire student workers, and manage Coach Training logistics (May, 60+ attendees).
  • Lead MBA programming activities including resume reviews, drop-ins, practice interviews, and event calendar management.

Job‑Specific Responsibilities
Lead Administrator for Coaching Platforms

Serve as the primary administrator for coaching‑related platforms that support the MBA and Alumni Coaching Programs, including:

  • Time Reporting & Payroll Service (Fieldglass)
  • 12twenty Recruiting Platform
  • CareerLeader
  • Qualtrics
  • Teams
  • SharePoint
Manage MBA & Alumni Coaching Program Operations
  • Manage weekly coach invoicing process for 50+ coaches
  • Create and manage five+ annual Peer Review Zoom meetings, including calendar invitations for coaches and CPD staff
  • Provide ongoing communication and support to coaches
  • Onboard new coaches through Zoom orientation sessions covering program processes and expectations
  • Provide coaches with academic calendar and other student event information for Fall and Spring coaching appointments
  • Respond to coaching‑related questions and requests forwarded from the CPD main email account
  • Grant access to CareerLeader to partners, staff and alumni
  • Distribute HBS Partner coaching requests to appropriate coaches
  • Coordinate staffing and logistics for the daily Coach‑on‑Call program, hiring student workers, setting schedule, ensuring appointments and notes are captured in 12twenty
  • Coordinate logistics for the annual two‑day Coach Training program in May (60+ attendees) including hotel, room and food reservations; all presentations, technology support and materials
Lead for MBA Programming
  • Manage Electronic Resume and Cover Letter Reviews
  • AFAA and Club Resume Reviews
  • Job Search Drop‑In Sessions and other related coaching programs
  • Practice Interviews
  • Responsibilities for MBA programming include:
  • Creating events in 12twenty for all coaching programs (excluding AFAA programs).
  • Coordinating room reservations.
  • Managing student and alumni registrations.
  • Collecting, printing, and distributing program materials as needed
  • Soliciting and coordinating coach staffing for all programs.
General Career Education Coaching
  • Manage Resume Book submission approvals and employer access
  • Create and publish Fall and Spring Resume Books
  • Process invoices for CEC‑related expenses
  • Support additional CEC programming as needed
  • General Career & Professional Development (CPD)
  • Review and approve MBA Event Calendar submissions daily
  • Support additional CPD programming and initiatives as needed
  • Build trust and collaboration by being present on‑site and engaging directly with colleagues and various constituents.
  • Other duties as assigned.
Basic Qualifications
  • High School Diploma, GED, or equivalent is required.
  • 5+ years of experience in administrative support role(s) is required.
  • Education beyond high school may count toward experience.
  • Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.

Working Conditions
  • Availability for some night and weekend work is required.
  • Standard Hours/Schedule: 40 hours per week

  • Other Information: This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non‑Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard‑designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location.
