Job description

About the Role

We’re looking for a highly organized, people-oriented Coordinator to support the growth, engagement, and day-to-day operations of our coaching community. This role is ideal for someone who enjoys balancing systems and structure with relationship-building and supporting the organization of learning content behind the scenes.

The Coordinator will help create a more connected and engaged coach experience by supporting communications, tracking key data, organizing resources, and helping operational processes run smoothly behind the scenes.

Approximately 80% of this role focuses on coach engagement and operational coordination, with the remaining 20% supporting simple video editing and content organization for our growing Coach Resource Hub. This is not a professional video production role. Instead, we’re looking for someone comfortable making basic edits in tools like iMovie or similar software (Canva, CapCut, Clipchamp) to create clean, organized learning resources.

This is a part-time role (15–20 hours/week).

Key Responsibilities
Coach Community Engagement
  • Help design and execute coach engagement initiatives and community-building efforts
  • Create and manage coach announcements, celebrations, and recognition communications (birthdays, high feedback scores, milestones, wins, etc.)
  • Help coordinate monthly coach calls, huddles, and other internal engagement activities
  • Maintain a warm, responsive, and positive experience for coaches across communications
  • Help foster an engaging and connected coach experience
Operations & Coordination
  • Organize and maintain coaching resources, documentation, and internal libraries
  • Track coach feedback and assist with monthly reporting and insights
  • Help maintain accurate records, spreadsheets and operational systems
  • Support scheduling, follow-ups, and administrative coordination as needed
  • Assist with process documentation and identifying opportunities to improve efficiency
Learning & AI Support
  • Assist with creating certification quizzes and learning materials across coaching content
  • Use AI tools (ChatGPT, Claude, Gemini, etc.) to improve workflows, organization, and content support
  • Identify opportunities to streamline manual processes and improve efficiency
Learning Content Support (Approximately 20%)
  • Perform basic editing of coaching and training recordings using iMovie or similar software
  • Trim videos for clarity and remove unnecessary sections
  • Add simple titles, section labels, or timestamps when appropriate
  • Help organize video assets within the Coach Resource Hub and SharePoint
  • Maintain consistent file naming, organization, and tagging
  • Support the creation of an organized, searchable learning library for coaches
What We are Looking For
  • Strong organizational and project coordination skills
  • Excellent written communication skills with a warm, professional tone
  • High emotional intelligence and strong interpersonal instincts
  • Comfortable working independently and managing multiple priorities
  • Detail-oriented with strong follow-through
  • A proactive, self-directed mindset with the ability to identify opportunities for improvement, recommend solutions, and independently move projects forward with minimal supervision.
  • Comfortable using AI tools to improve workflows and productivity
  • Intermediate experience using iMovie (or similar basic video editing software) to make simple edits to recorded content
  • Experience supporting communities, operations, learning programs, or coaching environments is a plus
Why This Role Matters

As our coaching community continues to grow, maintaining strong engagement and operational support has become increasingly important. Because much of the department’s time is spent traveling, coaching, and supporting client delivery, this role will help ensure the coach community remains connected, informed, supported, and celebrated.

Position Details
  • Part-time: Approximately 15–20 hours per week
  • Compensation: $25–$35/hour, depending on experience
  • Hybrid work environment, based in Montclair, NJ
Ideal Candidate

This role is a great fit for someone who is:

  • Naturally proactive, organized and dependable
  • Friendly, upbeat, and people-centered
  • Energized by both systems and community-building
