About the Job

Overview:

The Materials Management unit within Facilities Management supports the FM staff by managing services and supplies. This position reports to the Supervisor of the area falling under the Controller's Office. This position is responsible for the acquisition and management of maintenance supplies to include quality control, purchasing, inventory management, customer service, and employee training.

Priority Deadline: The application review will begin on August 19th.

Please note, this position is not eligible for H-1B or Green Card sponsorship. This position does not offer a STEM OPT training program.

Qualifications

Responsibilities:

50% Responsible for the day-to-day material handling activities and schedules in Materials Management for the coordination of planning, moving, storing, and controlling materials to provide services to departments on the UMD campus at an optimal cost.

  • Directs delivery drivers for material offloading, signs for deliveries, gives instructions for deliveries that are not for Facilities Management.
  • Documents any shipment damage and works with either the vendor or shipper to resolve issue or get replacement material.
  • Receives material from vendors, verify that what was received is what was ordered in correct quantities, and makes necessary adjustments to inventory and reconciliation of any order discrepancies.
  • Compiles cleaning supplies, tools, hardware, fixtures etc. that is requested in the Tririga software system for delivery. Organizes, packages, labels, and completes software transactions so appropriate charges are made to specified work tasks.
  • Facilitate material transport including picking up material from vendor locations and delivering requested material to various locations on an off campus or coordinating such deliveries with student employees.
  • Vendor, contractor, and customer relations in the materials handing process.
  • Recommendations and implement new processes for better efficiency.

25% Manages FM central stockroom inventory and satellite stockroom inventories to ensure appropriate material is stocked in the correct quantities, from qualified suppliers, at a reasonable cost.

  • Completes vendor product comparisons, pricing, and investigates new sources of supply.
  • Creates purchase orders of inventoried materials and issue them to various vendors.
  • Expediting orders that are past due to include changing, canceling, or clarifying orders to vendor.
  • Adjusts ordering process based on supply chain issues to ensure materials needed are on site in a timely manner.
  • Completes financial transactions and required documentation in Tririga including price changes on PO's and part records and adjusting inventory reorder points and quantities.
  • Clarification of invoice discrepancies with Accounts Payable and/or with vendors and instructs A/P on how to proceed with invoice correction.

15% Administers UMD Campus moving, hauling, and materials disposal activities; this involves coordinating work with moving contractor, UMD faculty and staff, Facilities Management Project Managers and Engineers, storage rental companies, and disposal facilities.

  • Gets estimates on move/haul if requested prior to work being done.
  • Communicate with all parties involved in move and resolve issues that arise, finding solutions that will work for all involved.
  • Determines if work shall be done with outside contractor or student labor.
  • Enters student labor hours on move/haul work requests in Tririga.
  • Enters service purchase orders in Tririga for work completed by outside contractors.
  • Completes urgent small move/haul work tasks when student labor is not available.

10% Supervision

This position supervises up to five student employees. This includes hiring and interviewing applicants, task, and equipment training, assigning, and scheduling all work, disciplining, and discharge. This position also requires the supervision of contractors while involved in a moving or hauling project. This includes directing work, evaluating contractor's performance, adjusting project work schedules, assigning work, and discharge if contractor is not meeting the needs of project work scope.

Required Qualifications:

BA/BS or a combination of related education and work experience to equal six years or more in materials management, or inventory services, and customer service; Class D driver's license with safe driving record, ability to lift 50 lbs., and computer proficiency. Preferred qualifications include knowledge of a wide variety of construction and maintenance materials.

Pay and Benefits

Pay Range: $62,000 - $68,000 PER YEAR; depending on education/qualifications/experience
