Job summary

Safe Harbor Marinas, LLC (SHM) seeks a detail‑minded Closing Administrator to support yacht brokers by handling contracts, closing documents, and funding steps. You will coordinate the closing process across regions, verify document accuracy, and maintain CRM and transaction records for reliable reporting.

You will partner with Marketing and Accounting to ensure precise data management, expense tracking, and timely deliveries for boat sales and regional events, while upholding SHM's high service

Qualifications

  • Associate's or Bachelor's degree preferred; equivalent administrative, sales support, or business management experience will be considered.
  • Strong organizational and time management skills with the ability to prioritize and manage multiple projects simultaneously.
  • Exceptional attention to detail and commitment to accuracy.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Experience working with CRM systems and business databases; ability to quickly learn new software platforms.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with a customer-service-oriented mindset.
  • Self-motivated, dependable, and capable of working independently with minimal supervision.
  • Positive attitude, strong work ethic, and a proactive approach to problem-solving.

Responsibilities

The Closing Administrator plays a critical role in supporting sales operations and delivering a seamless customer experience throughout the boat sales and closing process. This position works closely with yacht brokers, customers, manufacturers, accounting teams, and marketing partners to ensure transactions are completed accurately, efficiently, and professionally. This individual will help ensure every transaction is handled professionally, accurately, and in a manner that reflects the high standards of Bluewater Yacht Sales. The ideal candidate is highly organized, detail-oriented, technologically proficient, and capable of managing multiple priorities in a fast-paced, team-oriented environment.

Essential Duties and Responsibilities
  • Support yacht brokers by preparing, reviewing, and processing contracts, sales agreements, and closing documentation for assigned office regions.
  • Coordinate all aspects of the closing process to ensure timely and accurate transaction completion.
  • Verify the accuracy, completeness, and legibility of executed documents before processing and funding.
  • Maintain closing software records and ensure all required information is entered and updated prior to fund disbursement.
  • Track and maintain daily reports related to brokerage closings, sales activity, leads, and transaction data.
  • Collaborate with Marketing and Accounting departments to ensure accurate reporting and data management.
  • Compile, review, and maintain expense reports associated with boat sales, events, and regional activities.
CRM & Data Management
  • Maintain accurate customer and vessel records within the CRM system.
  • Update ownership, contact, and transaction information following each completed sale.
  • Ensure customer data integrity and consistency across business systems.
Office & Regional Operations
  • Maintain current manufacturer, product, and company literature throughout assigned offices.
  • Monitor inventory and condition of marketing assets, including brochures, signage, flags, tents, and promotional materials.
  • Manage general office administration, including mail distribution, office supplies, and phone system coordination.
  • Ensure listings, sales materials, and company branding are professionally displayed within office and marina locations.
  • Coordinate dockage, slip usage, and boat show space assignments while ensuring proper billing and reporting procedures.
  • Assist with the planning, coordination, and execution of regional events, customer functions, and boat shows.

  • Follow SHM Safety and Environmental rules and complete required related training
  • Wear proper personal protective equipment as required for the task or work area

Technical and Physical Requirements
  • College Degree or equivalent administrative/managerial experience.
  • Strong organizational skills and ability to handle multiple tasks simultaneously.
  • Exceptional attention to detail and accuracy.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Comfortable with CRM and database systems; quick to learn new technologies.
