Under supervision, you will manage patient check-ins, verify demographics and insurance, schedule appointments, and direct patients to the appropriate clinics.

The role requires at least three years of clerical experience with billing or medical insurance, strong interpersonal skills, and proficiency in Word and Excel.

Qualifications

  • Three years of progressively responsible clerical experience, including billing or medical insurance activities.
  • Excellent interpersonal and communication skills, with strong computer literacy (Word and Excel).
  • Prior front desk and patient intake experience is preferred.

Responsibilities

  • Documents patients arriving for treatment and verifies demographics per policy.
  • Obtains and updates insurance information and verifies copay/deductible requirements.
  • Posts patient payments and generates receipts as needed.
  • Provides excellent customer service and directs patients to the appropriate clinic areas.
  • Manages appointments, referrals, and confirmations to ensure smooth scheduling.

Posting Summary

Rutgers, The State University of New Jersey is seeking a Clinical Services Representative I within the Department of Endodontics at the Rutgers School of Dental Medicine ( RSDM ).

Under general supervision, the Clinical Services Representative I conducts a variety of front desk services. Additionally, the Clinical Services Representative I serves as a receptionist, maintains appointment bookings, requests charts, enters, updates and verifies patient demographics and insurance information.

Essential Duties and Responsibilities include the following:

  • Documents the patients arriving for treatment at Rutgers School of Dental Medicine. Inputs all biographical information and verifies patient identification in accordance with RSDM policies. Evaluates patient data to confirm that the information is up to date.
  • Obtains copies of patients’ Medicaid, Medicaid HMO , or dental insurance card, and verify and update the information as necessary.
  • Verifies that the required insurance copayment or deductible is obtained prior to the patient being treated by residents.
  • Accountable for the posting of patient payments. Ensures accurate documentation of these payments. Generates computer receipts for patients upon request.
  • Provides excellent customer service in response to patient inquiries and directs them to the relevant financial coordinator.
  • Guides patients to the appropriate section of the dental school, such as Special Needs, Pediatric Dentistry, Oral Medicine, and others.
  • Notifies residents about the arrival of their patients. Receives messages for residents and inform them regarding patient appointments, prescription concerns, and other related matters.
  • Obtains referrals from dental practices for treatment and notify patients once their insurance provider has approved the treatment.
  • Reviews the schedule for any outstanding balances to ensure we are complying with the RSDM Standard Operating Procedures.
  • Confirms appointments and informs patient if payment is due at the time of service. Arrange for counseling with a financial coordinator if needed.
  • Scans charts, identification, and insurance cards in axiUm.
