Job Description Summary

Responsible to assist with study coordination and recruitment for investigator-initiated studies, multi-center research studies, and patient-oriented clinical and translational research projects within a specific division. Works directly with study physicians, research coordinators, project managers, and other research staff. Performs screening visits, consenting of participants, processing and shipping of labs, entering data into databases, and escorting participants to other testing/procedure areas. The position has two functions: (1) To implement patient recruitment, screening and primary data collection within specified projects at the Center for Studies on Addiction within the Department of Psychiatry at the Penn Perelman School of Medicine, including comfort with computer/technical demands and strong interpersonal skills; (2) To assist in fNIRS, MRI, and neurocognitive data collection and upload, and preliminary imaging analyses. This role may require interaction with study engineers, participants, and investigators, and entails upload and management of non-imaging data for integration with imaging analysis.

Job Responsibilities

• Act as primary point of contact to recruit and conduct in-person or phone screens, consents, assessments, and scheduling of patient appointments with other team members
• Collect and enter data, pick up study medications, accompany patients to/from scanner
• Administer questionnaires during fMRI scans; maintain electronic scan data
• Administer neurobehavioral measures
• Enter imaging and nonimaging data into RedCap; perform basic first-level contrasts, second-level group analyses, and simple regression analyses within SPM as needed
• Perform standard office duties such as answering phones, scheduling and coordinating study visits, testing, meetings; manage correspondence, organize office and research supplies, submit purchasing orders, maintain files and records
• Prepare charts and study materials for visits; send out study patient packets including questionnaires and documents
• Complete documentation and data entry for each call; maintain and update study databases; obtain records for case report forms and protocol compliance
• Screen and distribute emails; respond to routine inquiries; handle calls daily
• Schedule appointments for study visits and related divisions; arrange transportation as required
• Prepare patient and healthcare provider reports after visits; maintain electronic copies
• Schedule subjects for procedures or inpatient stays per protocol
• Perform protocol procedures such as interviewing subjects, taking vital signs, and conducting ECGs
• Assess eligibility of potential subjects via screening interviews and medical record reviews
• Prepare study documentation including protocol worksheets, manuals, adverse event reports, IRB documents
• Other duties as assigned
