Job summary

Medica is seeking a Clinical Program Coordinator to support provider partnership programs across multiple teams. This role coordinates meetings, communications, and processes, ensuring accuracy and timely delivery of documents and data.

Requires 3+ years in admin or project coordination, strong organization, and proficiency with MS Office and SharePoint. Onsite with offices in Minnetonka, MN or Madison, WI; full benefits included.

Qualifications

• High school diploma or equivalent.
• 3+ years of experience in administrative support, operations, project coordination and or meeting management.
• Experience coordinating schedules, preparing meeting materials, and managing communications across multiple stakeholders.
• Strong organizational, problem-solving, and time-management skills.
• Demonstrated ability to work independently, prioritize competing demands, and follow through on deliverables.
• Proficiency with Microsoft Office applications, including PowerPoint, Excel, and Outlook.

Responsibilities

• Coordinate internal and external provider meetings, including scheduling, agenda development, meeting materials, and follow-up activities.
• Prepare presentations, reports, meeting packages, and communications for provider and organizational stakeholders.
• Manage and maintain SharePoint sites, documentation repositories, and operational resources.
• Track action items, deadlines, and deliverables across multiple projects and teams.
• Support standard operating procedure (SOP) development, maintenance, and process documentation.
• Ensure the accuracy, integrity, and timely distribution of program data, reports, and communications.
• Partner with cross-functional teams to identify process improvements, streamline workflows, and enhance coordination efforts.
• Monitor trends, identify operational issues, and proactively recommend solutions.
