Clinical Program Specialist - Tissue Donation (On-Site)

Title: Clinical Program Specialist/Coordinator – Tissue Donation
Location: Queens/Long Island, NY
Duration & Type: Full-Time/Direct Hire AND Part-Time
Available Shifts: Morning 6a-2:30p (M-F); Evening 2p -10:30p (M-F); Weekend 12-hour Shift (Sat & Sun)
Compensation & Benefits: W-2 Hourly; Hourly Rate: $30/hour - $33/hour (based on experience) + Performance-Based Bonus. Chamberlain Advisors is currently seeking a Clinical Program Coordinator for our client, who serves as the on-site hospital representative, managing the birth tissue donation process from consent to collection and transportation. This role requires close collaboration with hospital staff and compliance with applicable regulations. Key responsibilities include screening donors, coordinating maternal blood draws, reviewing medical records, ensuring proper documentation, and supporting regulatory audits. The coordinator plays a critical role in maintaining the success of the program by adhering to the high standards of care and compliance.

What You Will Be Accountable For
  • Organize and oversee the collection of birth tissues from designated hospitals, ensuring all processes comply with established protocols and timelines.
  • Coordinate the timely transportation of birth tissues from hospitals to the processing lab, ensuring safe-handling and adherence to regulatory requirements.
  • Get trained on the hospital’s medical records retrieval procedure.
  • Retrieval of medical records and ensuring the accuracy and completeness of all medical records related to birth tissue donations, including consent forms and any required documentation.
  • Work closely with hospital staff, including labor and delivery teams, to ensure smooth integration of birth tissue collection protocols within the hospital setting.
  • As required, assist hospital staff and other birth tissue coordinators with proper collection and handling procedures based on company training.
  • Serve as a point of contact for birth tissue donors, explaining the donation process and answering any questions.
  • Work with onsite hospital staff to identify areas for process improvements and implement strategies for greater efficiency.
  • Maintain detailed records of all birth tissue collections, deliveries, and associated metrics, and generate reports as required by the organization or regulatory bodies.
  • Train assistant birth tissue coordinators.
  • Ensure all patient medical records and sensitive information are handled in adherence to applicable regulations.
  • Participate in any scheduled or unscheduled regulatory audits, ensuring that all required documentation is complete, accurate, and compliant with AATB and FDA guidelines.
  • Coordinate maternal blood draws with hospital staff, ensuring proper collection, labeling, and transportation of blood samples to the lab for infectious disease testing.
  • Pre-screen donors by reviewing medical records for any exclusion criteria.
What Qualifications You Need
  • Typically, 2 – 4 years of related experience and 1+ years of work in a hospital or professional clinic setting.
  • Relevant clinical experience (L&D nurse/Phlebotomist/ birth tissue Coordinator/ Surgical Tech/ Nurse Assistant) will be preferred.
  • Experience in interacting with patients, physicians and hospital staff within a hospital setting is desirable.
  • Competence in reviewing and ensuring the completeness of medical records related to the donation process.
  • Familiarity with relevant regulatory requirements and compliance guidelines, such as FDA and AATB (American Association of Tissue Banks) related to birth tissue donation will be a plus.
  • Strong communication skills, both written and verbal, to interact effectively with hospital staff, donors, and internal teams.
  • Ability to educate and train hospital staff and other coordinators on birth tissue donation procedures.
  • Ability to manage the logistics of birth tissue collection and transportation, ensuring timely and efficient delivery to labs.
  • Ability to quickly address and resolve logistical or process-related issues that may arise during birth tissue collection and delivery.
  • Strong organizational skills and the ability to manage multiple tasks in a fast-paced environment.
  • Willingness and ability to travel to hospital sites as required for coordinator training and hospital relationship management.
