Job summary

Hey Jane is seeking a Clinical Operations Specialist to own the clinical schedule, coverage, and day-to-day operational coordination across 24+ states. You will partner with the Clinical Operations Senior Manager and clinic managers to keep patient care running smoothly and scale an emerging operations team.

This fully remote role offers unlimited PTO, health/dental/vision benefits, and an annual professional development stipend.

Qualifications

• 2+ years of experience in clinical operations, healthcare administration, or similar operational role.
• Highly organized with ability to manage multiple moving pieces (schedules, PTO, call-outs).
• Comfortable owning a recurring, detail-heavy operational process.
• Detail-oriented and accountable; proactive issue spotting.

Responsibilities

• Own the clinical schedule build on an 8-week cycle and ongoing cadence across all states.
• Configure sync visits – provider availability and slots, cover standard scheduling and ad hoc updates.
• Review and approve clinical payroll on a recurring cadence.
• Support day-to-day escalations per playbook and onboarding logistics for clinical hires.
• Help organize the Operations On-Call rotation schedule.

As we scale, our clinical team needs a reliable, dedicated engine behind the schedule, coverage, and day‑to‑day operations that keep care running smoothly.

As our Clinical Operations Specialist, you'll own that engine: the clinical schedule, coverage, and day‑to‑day operational coordination across every state we operate in. You'll work closely with our Clinical Operations Senior Manager and be a close, trusted partner to the clinic managers running patient care. You will be helping build the operational backbone of a brand‑new team as we grow.

This is a great fit if you love owning a process end‑to‑end and being the person people can count on to keep things running. You're an early hire on Clinical Operations at Hey Jane, with real room to shape how this role and department grows.

You are

• 2+ years of experience in clinical operations, healthcare administration, or a similar operational/coordination role
• Highly organized, with a knack for tracking multiple moving pieces at once: schedules, PTO requests, call‑outs, vendor setups
• Someone who's comfortable owning a recurring, detail‑heavy operational process
• Detail‑oriented and accountable: you catch issues early and take ownership of your work
• A natural partner: you build trust easily with clinic managers and cross‑functional partners and keep them proactively in the loop
• Energized by the operational and logistical side of healthcare
• Calm in the face of complexity: we operate across 24+ states, each with its own licensing and coverage rules, and you bring confidence and clarity to that kind of scale
• Comfortable learning and working across scheduling, EHR, and lab‑vendor systems (e.g., Elation, Quest, sync visit platforms)
• Excited to help build and refine processes as a new team and role take shape

You will

• Own the clinical schedule build on its 8‑week cycle, plus the ongoing work between builds: processing call‑outs, tracking future PTO requests, and keeping coverage solid across every state we operate in
• Own sync visit configuration — provider availability and appointment slots, covering both standard scheduling and ad hoc updates like call‑outs
• Review and approve clinical payroll (base hours, additional time, differentials) on a clean recurring cadence
• Support day‑to‑day operational escalations within a playbook our Senior Manager builds
• Support new‑hire onboarding logistics and vendor configuration for clinical hires (Elation, Quest, and similar systems)
• Help organize our Operations On‑Call rotation schedule

• Compensation: $75,000 + standard equity
