Mass General Brigham’s Wentworth-Douglass Hospital in Portsmouth, NH is seeking a Clinic/Practice Assistant to support daily practice operations, including scheduling, registration, records management, and patient communications.

This non-clinical, patient-facing role emphasizes organization and teamwork to create a welcoming, efficient experience for every patient. The position is onsite at 67 Corporate Drive with a typical 40-hour schedule.

Qualifications

  • High school diploma or equivalent required.
  • Up to one year of healthcare office experience required.
  • Basic proficiency with Microsoft Office applications.
  • Knowledge of standard office procedures, including filing, copying, scanning, printing, and faxing.
  • Confidence using multi-line phone systems, managing routine and non-routine calls, and resolving routine issues appropriately.
  • Clear, professional written and verbal communication skills, including the ability to compose emails, memos, and letters and take accurate messages.
  • Strong organization and time-management skills.
  • Patient care: This position does not provide direct patient care.

  • Schedule patient appointments and maintain accurate appointment records and daily schedules.
  • Manage incoming calls, answer routine questions, take complete messages, and connect callers with the appropriate resources.
  • Support patient check-in and check-out activities and verify registration information for accuracy.
  • Handle messages and documentation related to referrals and prior authorizations.
  • Prepare, scan, file, and retrieve documents in patient records, including medical records and laboratory results.
  • Process patient billing forms and, when required, accept co-payments.
  • Open and distribute mail and faxes and prepare forms, records, schedules, memos, and other materials as directed.
  • Monitor the waiting room, respond to patient information needs, and help maintain smooth day-to-day practice operations.
