Job summary

Newton-Wellesley Hospital in Millis, MA is seeking a part-time Clinic/Practice Assistant for on-site support Monday through Friday from 10:00am to 2:00pm. You will perform administrative duties, greet patients, handle scheduling, and assist in managing patient records in a fast-paced outpatient setting.

No healthcare experience? We offer on‑the‑job training and value strong customer service skills with the ability to multi-task and prioritize effectively.

Qualifications

  • High School Diploma or Equivalent required.
  • 2–3 years of office experience required.
  • Willingness to train on the job.

Responsibilities

  • Perform both administrative and clinical functions to support smooth and efficient clinical service or practice operations under close to general supervision.
  • Administrative duties related to patient visits including scheduling, check‑in, check‑out duties.
  • Make patient appointments and maintain appointment records.
  • Greet and assist patients.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • May monitor patients in waiting room and respond to any needs for information.
  • Assists in patient flow processes.

Located at 969 Main Street, Suite 205, Millis MA 02054, our Primary Care practice provides complete care to both individual patients and whole families, including: infants, children, teens, adults, seniors. We deliver a full range of preventive and health maintenance care. Our doctors also treat a range of acute and chronic health problems. In addition, we coordinate our patients’ care when they need treatment by specialists. We are a small office with a close-knit team of Providers, Medical Assistants and front desk staff who run our practice as a cohesive team! If you are looking to join a collaborative team who works closely together this is the position for you! We are seeking a part‑time, 20‑hour Clinic/Practice Assistant to support the practice on‑site Monday through Friday from 10:00am‑2:00pm. Clinic/Practice Assistants play an integral part in the operations of our community‑based physician practices. Dedicated to administrative support, these Coordinators serve as the gatekeepers of our practices and ensure that teams are delivering the highest quality experience, exceeding our patients' expectations.

Essential Functions
  • Perform both administrative and clinical functions to support smooth and efficient clinical service or practice operations under close to general supervision.
  • Perform basic clerical work and tasks that are repetitive and routine.
  • Administrative duties related to patient visits including scheduling, check‑in, check‑out duties.
  • Make patient appointments and maintain appointment records.
  • Greet and assist patients.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • File materials in patient folders, and print appointment schedules.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • Call for patient medical records and laboratory test results.
  • Open and distribute mail or faxes.
  • Type forms, records, schedules, memos, etc., as directed.
  • May be required to accept co‑payments.
  • Handles, screens and/or takes messages related to prior authorizations, referrals, and verify registrations for accuracy.
  • May monitor patients in waiting room and respond to any needs for information.
  • Assists in patient flow processes.
Qualifications
  • Education: High School Diploma or Equivalent required.
  • Can this role accept experience in lieu of a degree? No.
  • Experience: office experience 2‑3 years required.
