Job description

This position reports to the Clinic Operations Supervisor or Clinic Operations/Practice Manager. It provides patient services and administrative support in clinic operations. The role involves interacting with parents, patients, physicians, and staff under moderate supervision in a courteous manner. Responsibilities include assisting other employees within and outside the department, collecting and verifying demographic information, notifying patients of scheduled services according to managed care requirements, scheduling specialty appointments, and floating to other clinics or ROCs as needed. The next career step is toward a Senior Clinic Operations Rep or Team Lead position.

Minimum Education
High School Diploma or GED (Required)

Minimum Work Experience
At least 1 year of experience in billing, patient registration, scheduling, medical insurance verification, and insurance screening (Required)

Required Skills/Knowledge
Broad clinic knowledge, customer service skills, computer proficiency, experience with Microsoft Office (Word & Excel) preferred, completion of Ambulatory Services training, and typing speed of at least 35 words per minute.

Functional Accountabilities

Patient Services

  • Accurate scheduling of patients using the department's system.
  • Complete registration with parents/guardians courteously via phone or in person.
  • Collect and update demographic and insurance data accurately.
  • Reschedule no-shows or cancellations; schedule follow-ups at checkout.
  • Greet patients courteously and record their arrival per policy.
  • Obtain necessary consents and distribute compliance materials.
  • Copy or scan insurance cards and IDs; ensure documentation reaches relevant departments.
  • Respond to patient portal requests and messages.

Information Verification

  • Verify insurance eligibility and adhere to managed care carve-outs.
  • Notify parents about referral forms or pre-authorizations needed.
  • Discuss payment responsibilities prior to appointments.
  • Verify pre-authorizations and insurance info, aiming for 5 days in advance.
  • Ensure system synchronization across all patient information systems.

Cash Collection

  • Collect and record co-pays and payments, aiming to meet collection targets.
  • Maintain cash control standards.

Billing Preparation

  • Reconcile schedules and ensure billing setup and authorizations are complete 3-7 days prior to clinics.
  • Link appointments to the scheduling system.

Office Support

  • Answer calls, manage voicemails, distribute mail, and maintain files and supplies.
  • Respond to emails within 24 hours and keep the workspace clean.
  • Provide other administrative support as needed.

Safety

  • Promote safety, verify information, and communicate clearly and timely.
  • Address unsafe behaviors and resolve uncertainties promptly.
