Description

This position reports to the Clinic Operations Supervisor or Clinic Operations/Practice Manager. Provide patient services and administrative support in clinic operations. Interacts with parents, patients, physicians, and staff under moderate supervision in a courteous manner. Assist other employees within their department and other departments. Collect and verify demographic information for accuracy. May notify patients of scheduled services according to managed care requirements. May be responsible for scheduling patients for specialty appointments. The role may require floating to other clinics or ROCs for coverage. The next step in the career ladder is the Senior Clinic Operations Rep or Team Lead position.

Qualifications

Minimum Education
High School Diploma or GED (Required)

Minimum Work Experience
1 year experience in billing, patient registration, scheduling, medical insurance verification, and screening (Required)

Required Skills/Knowledge
Broad clinic knowledge, customer service skills, computer literacy, Microsoft Office (Word & Excel), completion of Ambulatory Services training, and typing minimum 35 words per minute.

Functional Accountabilities
Patient Services
  • Accurate scheduling of patients using the department’s system.
  • Complete registration with parent/guardian via phone or in person professionally and courteously.
  • Collect and update demographic and insurance information accurately.
  • Reschedule missed appointments and schedule follow-ups at checkout.
  • Greet patients and parents courteously; ensure proper system entry.
  • Obtain and distribute necessary consents and compliance materials.
  • Handle insurance documentation and ensure system updates.
  • Respond to patient portal requests and communications.
Information Verification
  • Verify insurance eligibility and ensure managed care compliance.
  • Notify parents about referrals or pre-authorizations needed.
  • Discuss payment responsibilities with parents.
  • Verify pre-authorization and referral information prior to procedures.
  • Ensure all patient information systems are synchronized.
Cash Collection
  • Collect and record payments, meet collection targets.
  • Maintain cash control standards.
Billing Preparation
  • Reconcile schedules and ensure billing readiness 3-4 days before clinic sessions.
Office Support
  • Answer calls, handle mail, maintain office supplies and cleanliness, and respond to emails timely.
Safety
  • Promote and ensure safety practices, verify information, communicate clearly, and address unsafe behaviors.
Organizational Accountabilities
  • Respond to customer needs, demonstrate teamwork, contribute to improvement, and manage resources efficiently.
