Salary Range: $85,000.00 - $100,000.00 / year

Duties and Responsibilities
- Directly supervise the front desk supervisor and back office/medical assistant supervisor, including recruiting, training, coaching, developing, and performance management.
- Proactively manage and schedule staff appropriately while continually evaluating staffing needs.
- Analyze data reports and partner with the Director of Operations to develop and execute strategies, maintain and update workflows and standard operating procedures, monitor sustainability of changes, and lead the team through change‑management processes.
- Manage inventory, equipment, and budget for each clinic site, including supplies, vaccines, and medications, and reduce waste and spoilage.
- Ensure compliance with federal regulations (e.g., infectious disease, labor laws, HRSA regulations) and enforce policies and procedures in alignment with these regulations.
- Monitor and track productivity and clinic process effectiveness by identifying key performance indicators, staff productivity goals, error logs, and grievances/incidents to develop improvement plans, ensuring technology systems are fully utilized.
- Act as liaison in emergencies (e.g., power outages, safety threats, natural disasters).
- Lead the site through internal and external audits, ensuring compliance with audit requirements and chart audit adherence.
- Monitor site productivity for visits completed while balancing patient‑care adherence with schedule management.
- Ensure daily huddles between clinical and admin teams and perform continuous rounds of all departments to maintain operational readiness.
- Ensure each clinic site is well maintained and appropriate signage, licensing, and compliance requirements are up‑to‑date.
- Maintain a system for expeditious and compliant communication of patient information, including responsiveness to patient calls, handling of critical laboratory results, and patient hospitalization information.
- Submit monthly reports (or as needed) and attend weekly one‑on‑one meetings on progress, status of departmental workloads, barriers, and needs with the Director of Operations.
Position Requirements
- Bachelor’s degree preferably in healthcare administration, public health, or nursing with five years of leadership experience directly leading a complex multi‑site medical group environment or equivalent experience.
- Minimum five years of medical assistant and front desk management experience; LVN license preferred.
- Experience managing project planning and budgeting preferred.
- Site audit experience required; HRSA OSV audit experience preferred.
- Knowledge of Lean & Six Sigma and/or change‑management processes preferred.
- Basic knowledge of medications and clinical information preferred.
- Proven record of managing change and leading teams to successful results/performance based on organizationally aligned strategic goals (required).
- Demonstrated ability to provide coaching and development of subordinates to achieve individual and organizational excellence (required).
