Position Overview

Imagine360 is currently seeking a Clinic Operations Assistant. This position is responsible for assisting with patient care in the miCare clinic under the delegation of the miCare Practitioner(s). The Lead Medical Assistant is required to perform all duties of the Medical Assistants within the practice while providing first level support and counseling to staff. Keeps manager apprised of employee issues and concerns. Works closely with and takes direction from the manager. The position will partner with an external Pharmacy Benefits vendor in their daily operations to ensure that patients are receiving accurate medications in a timely manner.

Responsibilities
  • General Medical Assistant
    • Utilizes medical knowledge and skills to perform patient care tasks under the conformance of current and recognized techniques, procedures, and standards within the scope of practice of the certification held. Includes but not limited to:
      • Office reception, including greeting patients, answering telephone, and direct calls to patients.
      • Documenting patients' demographics, history, symptoms and other significant information as directed by the Practitioner(s).
      • Maintaining a safe work environment within compliance with infection control guidelines.
      • Record patients' medical history, vital statistics, or information such as test results in medical records.
      • Venipuncture and skin puncture for the purpose of withdrawing blood.
      • Collect fluid or tissue samples, using appropriate collection procedures.
      • Managing patient flow.
      • Perform effective communication with miCare team and patient to ensure coordination of care.
    • Carry out Practitioner(s) orders accurately and directly.
    • Document provided care as required.
  • Operational Responsibilities
    • Inventory, ordering and restocking supplies.
    • Maintaining documentation and patient files.
    • Maintain a functional and clean work environment.
    • Maintain procedure manual, update as needed; ensure consistent management of procedures.
    • Supports all prescription medication processes within the miCare clinic.
    • Verify medication refills and deliveries with the pharmacy as needed.
    • Concisely document medication pickups, refills, and deliveries.
    • Responsible for tracking and keeping up to date the medication inventory logs; medications received from external vendor and medications distributed to patients.
    • Responsible for the receiving medication deliveries and providing basic medication information to patients; responsible for the unpacking and stocking of medication area of clinic as well.
    • Maintains accurate filing and record keeping for all medications.
    • Facilitate medication refills on behalf of the patient.
    • Attends meetings with the pharmacy vendor.
    • Organize and prepare the schedule for the staff and providers.
    • Put together a team meeting and presenting as directed.
    • Presentation to the WVHA board as requested.
  • Administrative Duties
    • Mentoring and training new or existing employees.
    • Retraining on protocols, procedures etc.
    • Trains new employees on the medication process.
  • Performs audits of the medication dispense process.
  • Collaborating with other medical assistants and providers to ensure optimal patient care.
  • Taking the direction from the manager and being able to help push out new initiatives with a positive attitude and being able to follow up to ensure people are confident with the changes.
  • Recognizing issues and being able to work collaboratively to resolve with direction from the acting manager.

    • Provides timely and thorough follow‑up with internal and external customers.
    • Appropriately escalates difficult issues up the chain up to miCare administration following the reporting structure.
  • Quality Assurance
    • Serves on committees, work groups, and/or process improvement teams, as assigned, to assist in improving quality/customer satisfaction.
    • Recognizes and alerts appropriate supervisor of trends within their scope of responsibility that fall outside of quality parameters.
    • Performs self‑quality monitoring in order to develop and execute plans to meet established goals.
    • Provides ongoing feedback to help optimize quality performance.
    • Collaborates with others and cross‑departmentally to improve or streamline procedures.
    • Develops new or improves current internal processes to improve quality.
  • Required Experience / Education
    • Medical Assistant certification OR LPN with a minimum of five years of relevant experience.
    • Knowledge of examination, diagnostic and treatment room procedures. Knowledge of common safety hazards and precautions to maintain a safe work environment.
    • Must be proficient in phlebotomy skills.
    • Medical terminology proficiency.
    • Demonstrated organizational skills, problem‑solving, analytical skills and detail oriented.
    • Strong written and oral communication skills.
    • Demonstrated ability to work independently, prioritize workloads, multi‑task and manage priorities to meet deadlines.
    • Must have proven ability to maintain professional conduct and confidentiality in the care of patients.
    • Current BLS.
    Skills And Abilities
    • Working knowledge of computers and software including but not limited to Microsoft Office products.
    • Proficient typing skills.

  • License And Certifications
    • Must maintain active, current, and unrestricted Medical Assistant certification. Must complete all required CEUs and maintain compliance with any additional training requirements.
    • Must have and maintain a current BLS certification.
    Physical Demands & Working Conditions

    Work is primarily indoors in an office environment with moderate noise. Intermittent physical effort involving lifting of up to 25 pounds, walking, and stooping, kneeling, crouching, or crawling is required. A typical workday involves sitting, frequent use of a keyboard, reaching with hands and arms, and talking and hearing, approximately 70% of the time. Approximately 30% or less of the time is spent standing. Normal vision abilities required, including close vision and ability to adjust focus.

    Compensation

    Salary: $28 - $32 per hour
