Financial-services experience is required.
The most important qualities are attention to detail, follow-through, organization, communication, and a willingness to learn.
Your job is to help free the financial advisor to spend more time with clients, prospective clients, and financial planning—and less time tracking paperwork and administrative tasks.
When a client needs something done, you help make sure it gets done.
Prepare and process new account paperwork, account transfers, beneficiary changes, distributions, contributions, money movement requests, and other client service forms.
Track submitted paperwork through completion and proactively resolve missing information, signatures, or processing issues.
Maintain accurate client records and documentation.
After client meetings, help turn action items into completed tasks.
Track outstanding client requests and follow up with clients when additional information or signatures are needed.
Follow up with custodians, investment companies, insurance companies, and other partners to keep client requests moving.
Most importantly, don't simply submit a request—own it until it is complete.
Maintain accurate information within the firm's CRM.
Create and manage tasks and workflows following client meetings.
Track deadlines and outstanding items.
Help develop repeatable processes so routine client service activities are handled consistently.
Identify items that are stalled and proactively bring them to the advisor's attention.

Successful performance means paperwork is accurate, client requests don't fall through the cracks, CRM tasks stay current, clients receive timely follow-up, and the advisor can confidently hand off operational responsibilities knowing they will be completed.
This is an intermediate-level position.
Experience in banking, insurance, financial services, professional services, hospitality, medical-office administration, or another detail-oriented client service environment is required.
It is important for the person that fills this role to have strong organization, personal accountability, professionalism, and follow-through skills.
