Job Summary
The CSA provides outstanding customer service, represents Viticus Group professionally, creates a welcoming environment, offers educational resources, and ensures a personalized experience for each client. Reports to the Client Services Supervisor. Flexibility required: up to 40 hours per week, possible overtime, weekend and holiday shifts.
Education and Experience
- High School diploma or equivalent.
- Minimum 2 years’ experience in Customer Service.
Skills & Abilities
- Strong communication skills (writing, reading, verbal).
- Proficiency with Microsoft Word, Excel, PowerPoint, Outlook.

Job Specific Duties
Guest/Client Assistance
- Assist clients with name badges and copies.
- Provide beverages and snacks, ensuring a pleasant experience.
- Arrange transportation (cabs, Lyft).
Inventory Management
- Stock coolers, snack racks, storage closets (FIFO).
- Order supplies within budget.
- Maintain fresh supplies, monitor inventory levels.
Event Coordination
- Monitor event calendar, plan needs, schedule staff.
- Ensure meals set on time, communicate changes to caterers and clients.
- Set up and maintain digital signage/logos.
- Assist clients in direct flow of lab/lecture activities.
Vendor and Client Relations
- Contact vendors following approval procedures.
- Communicate with clients via email and phone.
- Work with others to anticipate event needs.
Facility Management
- Ensure coffee supplies fresh, area clean.
- Light housekeeping (sanitizer wiping).
- Compliance with SOPs and safety policies.
- Print and obtain signatures on facilities/client waivers.
Team Coordination
- Delegate tasks effectively.
- Organize and prioritize tasks, troubleshoot, implement solutions.
- Update staff on meal times and client changes.
Professional Conduct
- Professional and courteous demeanor.
- Adhere to general policies of Oquendo and Eastern Centers.
Marketing
- General help and support as needed.
- Assist with data collection/analysis for marketing initiatives.
Transportation
- Assist transportation logistics for events and participants.
- Schedule and dispatch drivers.
General Support
- Administrative support to various departments.
- Assist event planning and execution.
- Data entry and record maintenance.
