Job summary

Feeding South Florida is seeking a Client Services Administrator to be the first contact for families seeking food assistance and to manage referrals. The role includes intake, scheduling appointments, and assisting with government benefits applications during peak times.

Hourly compensation ranges from $19.00 to $21.00. Strong bilingual English/Spanish skills, organization, and communication abilities are required. This office-based position supports outreach and reporting across FSF programs.

Qualifications

  • Working knowledge of MS Suite; Excel, Word, SharePoint, PowerPoint.
  • Experience with at-risk populations and compassionate service.
  • Strong moral compass, impartiality, and discretion.
  • Strong written and verbal communication; public speaking and instruction abilities.
  • Positive attitude, flexibility, and good sense of humor.
  • Must have access to reliable transportation.

Responsibilities

  • Answer incoming phone calls and handle all inbound referrals to provide food assistance.
  • Use Case Management Software to complete intake, track assistance, coordinate referrals, and run reports.
  • Collect grant and demographic information for reports and ensure timely submission.
  • Educate clients about FSF services including Senior Programs, Children Programs, Nutrition Education, and Job Training.
  • Refer clients to community partners for additional services and ongoing food assistance.
  • Screen clients for eligibility and schedule appointments.
  • Maintain positive relationships with clients, partners, agencies, and volunteers.
  • Assist management as necessary.

POSITION SUMMARY

The Client Services Administrator serves as the first point of contact for the families we serve and is responsible for managing inbound and outbound referrals in a fast-paced, often busy environment. The Client Services Administrator answers incoming calls from individuals seeking food assistance and assists in scheduling client appointments. This position will work in collaboration with the Client Services Coordinator and Nutrition Educators. The Client Services Administrator may assist families with government benefits applications during higher volume hours. They provide excellent customer service to clients, and work to assist in the smooth operation of the department.

COMPENSATION: $19.00 - $21.00 per hour

POSITION RESPONSIBILITIES
  • Responsible for answering incoming phone calls and handling all inbound referrals to provide food assistance to families in need.
  • Utilizes our Case Management Software to complete intake with clients, track assistance, coordinate referrals, and leverage reporting tools to best support the organization’s overall mission and vision.
  • Ensures necessary grant and demographic information is obtained and tracked from participating clients, then compiled in a timely and accurate manner for weekly, monthly, quarterly, and annual reports.
  • Educates clients about services Feeding South Florida offers to reduce food access barriers and end hunger including our Senior Programs, Children Programs, Nutrition Education, and Job Training Programs.
  • Refers clients to appropriate community partners for additional services and our agency network for ongoing food assistance.
  • Screens clients for services by asking questions to determine eligibility and scheduling appointments to assist.
  • Maintains positive relationships with clients, community partners, government agencies, and volunteers.
  • Assists management, as necessary.
POSITION QUALIFICATIONS
  • High School Diploma or equivalent education required.
  • Bilingual: English/Spanish.
  • Ability to maintain a pleasant and calm demeanor under pressure in a fast-paced environment.
  • Excellent organizational skills, with attention to detail.
  • Ability to speak clearly and communicate effectively using various communication mediums, e-mail, written correspondence, phones, etc.
  • Excellent computer and technology skills; ability to type 50 WPM, schedule video conference using a variety of software such as Teams, Zoom, etc.
  • Working knowledge of MS Suite; Excel, Word, SharePoint, PowerPoint.
  • Experience working with at-risk, vulnerable populations.
  • Sensitivity to diverse populations with sound judgment and the ability to serve people in a compassionate, patient, friendly, and courteous manner, showing sincere interest in people’s conce
  • Strong moral compass with ability to exercise discretion, including a demonstrated impartiality to certain organizations, agencies, groups, or individuals.

PHYSICAL DEMANDS & WORKING CONDITIONS
  • Hours of Operation: Organization hours are Monday-Friday, 8:00 a.m. – 5:00 p.m., this position may work additional hours occasionally throughout the year, especially during peak times such as holiday seasons, and disaster response.
  • Environment: This position works in an office setting with varying periods of standing, talking, and/or visual concentration, and use of office equipment. Must maintain office safety standards. Occasional work will occur in the warehouse or outside in fields and warehouses in inclement weather. The noise in the work environment is usually moderate to loud.
  • Travel: This position may have occasional travel for meetings, conferences or special events which may require the use of a personal vehicle.
  • OSHA Standards: Lifting requirements are 50 pounds and when lifting loads heavier than 50 pounds, use two or more people to lift the load.
