Job summary

Tradewind Aviation LLC is seeking a Client Services Account Manager to ensure seamless execution of private charter flights and scheduled services. You will manage client interactions from initial inquiry through trip completion, coordinating details, payments, and logistics while delivering exceptional service.

You will collaborate with Dispatch and Finance, handle VIP relations, and support owner services as needed to exceed client expectations and uphold Tradewind’s premium standard.

Qualifications

  • Bachelor’s degree in related field preferred and 3–5 years in client services, account management, or sales within luxury travel, aviation, or hospitality.
  • Proven ability to build and maintain long‑term client relationships with high‑net‑worth individuals and corporate partners.
  • Strong understanding of private aviation operations, charter sales, and client logistics (experience in Part 135 or similar aviation environments a plus).
  • Exceptional communication and interpersonal skills with a service‑oriented demeanor.
  • Ability to manage multiple accounts and priorities in a fast‑paced, detail‑driven environment.
  • CRM proficiency (Salesforce) and aviation booking platforms preferred.

Responsibilities

  • Collect comprehensive trip details for private charter flights and scheduled service flights for VIP clients.
  • Coordinate trip logistics such as catering, ground transportation, and special requests.
  • Confirm all trip details and send day‑prior itineraries to charter clients.
  • Monitor and communicate updates for weather, mechanicals, or delays to clients.
  • Serve as liaison between Dispatch and charter clients for timely updates.
  • Follow up after trips, prepare trip reports, and document issues for resolution.
  • Collaborate with Finance to resolve outstanding payments and billable client expenses.
  • Engage with Goodspeed and VIP clients to ensure satisfaction.
  • Provide coverage for Owner Services when necessary.
  • Liaise with ground concierge teams for VIP and Goodspeed clients.
  • Execute service recovery and act as initial escalation for trip issues.

ABOUT THE CANDIDATE / ROLE

The Client Services Account Manager will play a crucial role in ensuring the smooth execution of private charter flights, managing client interactions, and delivering unparalleled service from the beginning to the end of each trip.

ESSENTIAL FUNCTIONS
  • Collect comprehensive trip details for private charter flights and scheduled service flights for
  • Goodspeed and VIP clients, including client and passenger information, passport details, preferences,
  • special requests, connecting flight information, and flight following point of contact.
  • Ensure the billing information is complete, and payments are received according to terms.
  • Coordinate, arrange, and confirm trip logistics such as catering, ground transportation, and special
  • requests.
  • Confirm all trip details are complete and send day-prior itineraries to charter clients.
  • Monitor potential or actual operational issues (weather, mechanical, delays) and communicate
  • effectively with clients.
  • Act as a liaison between the Dispatch team and charter clients to provide accurate and timely updates.
  • Follow up with charter clients after trip completion, create trip reports, and record any issues for
  • resolution.
  • Collaborate with the Finance team to resolve outstanding payment issues and report billable charter
  • client expenses.
  • Proactively engage with Goodspeed and VIP clients to ensure satisfaction.
  • Provide coverage for Owner Services when necessary.
  • Liaison to ground concierge teams for VIP and Goodspeed clients.

REQUIRED QUALIFICATIONS
  • Bachelor’s degree in Business Administration, Hospitality Management, Aviation Management, or a related field preferred.
  • 3–5 years of experience in client services, account management, or sales within luxury travel, aviation, or hospitality industries.
  • Proven ability to build and maintain long‑term client relationships with high‑net‑worth individuals and corporate partners.

  • Proficiency in CRM systems (e.g., Salesforce) and Microsoft Office Suite; experience with aviation booking platforms preferred.
  • Collaborative and proactive team player with strong problem‑solving and follow‑up skills.
  • Willingness to work flexible hours, including evenings and weekends, to accommodate client travel schedules.
PHYSICAL REQUIREMENTS
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 15 lbs. at times.
