Job summary

Animal Clinic Inc in Chattanooga is looking for a Client Service Representative to handle front desk operations and greeting clients for our veterinary patients.

You will schedule appointments, manage records, process payments, and help educate clients on wellness plans, with a focus on compassionate, efficient service and teamwork with our veterinary staff.

Qualifications

  • One year of experience in veterinary or human medical practice preferred.
  • Minimum two years’ customer service experience required.
  • Must possess basic math skills to determine deposits and process payments.
  • Preferred understanding of veterinary terminology and client communication.

Responsibilities

  • Deliver exceptional customer service to pet owners in person or by phone.
  • Schedule and confirm appointments, manage records, and provide estimates/invoices.
  • Respond with compassion in stressful situations.
  • Maintain a clean, stocked lobby and front office area.
  • Educate clients on wellness plans and products sold in the waiting room.
  • Perform opening/closing procedures and end-of-day deposits.
  • Data entry for records and referrals; manage mail distribution.
  • Ensure referral letters and lab results reach the veterinarians.
  • Admit patients with current information and accurate weights.
  • Opportunity to learn Veterinary Assistant skills if desired.

Essential Functions and Responsibilities
  • Deliverexceptionalcustomer service to pet owners in a polite and timely manner,bothin person and over the phone
  • Scheduleand confirmappointments, record keepingand organization, provide estimates and invoices for payment
  • Respond with compassion and empathy in stressful and emotional situations
  • Maintain a clean,stockedand orderly lobby and front office area
  • Educate clients on wellness plans, food and products sold in the waiting room
  • Perform opening and closing procedures, end-of-day reports and deposits
  • Data Entry: records, client questionnaires, referral information,etc.
  • Distribute mail
  • Ensure that referral letters and lab results go to the corresponding veterinarians
  • Admit patients: ensuring that the patient isweighed,and all information is current
  • Opportunities to learn Veterinary Assistant skills if desired
Skills and Qualifications
  • Oneyearofexperiencein veterinary practice (or human medical practice) preferred
  • Minimumtwoyears’customer service experience required (retail,foodand beverage, etc.)
  • Must possess basic math skills to determine proper deposits, make changes,and process paymentsutilizingcredit card and check terminal
  • Preferred general understanding of veterinary terminology, situational understanding and being able to successfully communicate these situations with clients and veterinary team.
  • Excellent communication skillswith clients and team members
  • Proficienttime management, ability to solve problems,learn,and handle multiple tasks
  • Enthusiastic team player with a patient, and positive professional attitude.
  • Must be able towork seated for a majority of day
