Job summary

Austin Veterinary Emergency & Specialty (AVES) is part of Ethos Veterinary Health and is expanding to include new doctors and services in a brand-new 45,000 sq ft hospital in Austin, TX. The Client Service Representative will support emergency, critical care and specialty departments while greeting and assisting clients.

The role requires at least 2 years of customer service in a medical setting, veterinary experience preferred, and fluent English.

Qualifications

  • 2+ years of customer service experience in a medical setting is required.
  • Veterinary experience is preferred.
  • A solid employment history with reliability.
  • Ability to work independently and be self-driven.
  • Proactive mindset with opportunities for collaboration to improve processes.
  • Fluent English skills (speaking & reading) required.

Responsibilities

  • Educate and support clients and referring veterinarians about services over the phone and in person.
  • Assist clients in scheduling appointments at the hospital for a seamless process.
  • Handle reminder and follow-up communications via phone and email.
  • Accurately update and maintain client/pet records with attention to detail.
  • Oversee payment processing and reconciliation during transactions.

At Austin Veterinary Emergency & Specialty (AVES), we have recently expanded—adding new doctors, enhancing our services, and growing our departments—now operating in our brand-new, state-of-the-art 45,000 sq. ft. hospital. As part of this continued growth, we’re hiring for multiple positions across departments. We’re seeking highly skilled, self‑motivated, and team-oriented professionals who are passionate about delivering exceptional care in advanced veterinary medicine.

Job Description

As a Client Service Representative, you will play a crucial role in supporting our emergency, critical care and specialty departments while welcoming and assisting our guests.

Responsibilities
  • Educate and Support: Inform clients and referring veterinarians about our comprehensive services and provide compassionate support over the phone and in person.
  • Appointment Coordination: Assist clients in scheduling appointments at our multi-specialist hospital, ensuring a seamless and efficient process.
  • Communication Mastery: Handle reminder and follow-up communications with finesse, utilizing both phone and email to keep clients informed and engaged.
  • Record Keeping: Accurately update and maintain client/pet records and files, ensuring a meticulous approach to detail.
  • Financial Transactions Oversight: accurately and efficiently handle payment processing and reconciliation
Qualifications
  • At least 2 years of customer service experience in a medical setting is required
  • Veterinary experience is preferred.
  • A solid employment history with proven reliability.
  • The ability to work independently while being self-driven and eager to grow.
  • A proactive mindset, always looking for process improvements and opportunities for collaboration to streamline operations.
  • Fluent English skills (speaking & reading) are required for the role; fluency in multiple languages a plus
