Company Description

Planned Results, Inc. is an independent financial planning firm based in Syracuse, New York, focused on providing personalized guidance to individuals and families. The firm offers comprehensive financial planning services designed to help clients achieve long-term financial security and meet their life goals. As a smaller, independent practice, Planned Results emphasizes trusted client relationships, tailored advice, and attentive service. Team members collaborate closely to support clients through all stages of their financial journey, contributing to a professional yet approachable work environment.

Position Overview

We are a growing, independent financial planning firm dedicated to delivering a premier wealth management experience. We are seeking an organized, detail-oriented Client Service/Financial Planning Associate to manage our daily operations and support our advisory team. This role supports the financial planning team by preparing client documents, organizing meeting materials, and updating client records and financial data in firm systems. This role will act as the operational backbone of our firm, ensuring that client onboarding, paperwork, and administrative systems run flawlessly. This is an excellent opportunity for either a long-term operational professional in wealth management, or an entry-level professional looking to learn the foundations of the financial industry and financial planning. This role is an integral part of the financial planning process and will provide valuable exposure to the wealth management industry.

Please note: This is a non-licensed, non-sales position. The Client Service/Financial Planning Associate will work very closely with advisors and will have regular interaction with clients via email and phone, but not be responsible for managing client portfolios, selling products, or giving investment advice. However, this position will provide a strong foundation of experience and knowledge and could potentially offer future growth opportunities for the right candidate.

Key Responsibilities

Daily responsibilities include responding to client inquiries by phone and email, scheduling appointments, organizing data, and preparing reporting for client meetings. The associate also helps with basic financial planning tasks such as assembling statements, tracking action items, and maintaining accurate files, while collaborating with advisors to deliver timely, high-quality service. This position requires consistent attention to detail, professionalism in client interactions, and a commitment to supporting the overall client experience at the firm.

  • Operations & Paperwork Management: Prepare, process, and track new account applications, account transfers, asset movement requests, and beneficiary updates with custodians (Raymond James).
  • Financial Planning Software Support: Gather and organize client financial statements and enter data into financial planning software (RightCapital, Morningstar, TValue, Holistiplan) and CRM platform (ACT!).
  • Meeting Preparation: Generate client portfolio reports, pre-meeting planning checklists, update account review grids, and assemble necessary meeting materials for the financial planners, in addition to client communication regarding any necessary information needed for upcoming meetings.
  • Client Relationship Management: Act as a friendly, primary point of contact for day-to-day administrative inquiries and meeting prep (e.g., address changes, general account questions, scheduling appointments and information gathering for meeting prep).
  • Office Administration: Manage complex schedules, follow up on outstanding task workflows, answer phone calls, and assist with compliance record-keeping.
Qualifications & Skills
  • Experience: Minimum 1-3 years of experience in an administrative support, customer service, or office management role. Experience working within a professional services environment (finance, legal, or real estate) is highly preferred but not required.
  • Strong client service capabilities, including Client Services and Customer Service skills to support and engage clients effectively.
  • High level of organization, accuracy, and attention to detail in managing records and preparing client materials.
  • Excellent Communication skills, with the ability to convey information clearly and professionally in both written and verbal forms.
  • Focus on Customer Satisfaction, demonstrating a client-centered mindset and dedication to resolving issues promptly and accurately.
  • Foundational understanding of Finance, with the ability to work with financial documents, terminology, and planning concepts.
  • Strong computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook). Experience with, or ability to quickly learn financial planning software and CRM platforms.
  • Ability to collaborate with a small team, and manage multiple tasks and deadlines.
  • Preferred: Prior experience in a financial services or professional environment and relevant education in finance, business, or a related field.
  • Licensing: No industry licenses (FINRA Series 7, 65, 66, or State Insurance) are required for this role.
What We Offer
  • Compensation: Competitive base salary of $40,000-$50,000/year expected depending on experience.
  • Benefits: 401(k) with company match, Paid Time Off (PTO), health insurance contribution, bonus pool.
  • Professional Growth: A supportive team environment with hands-on training in financial operations and standard operating procedures. Small office environment provides opportunity to work very closely with entire staff daily including senior advisors, providing exposure to all aspects of the financial planning and wealth management industry.
