Job summary

Johnson, Grossnickle and Associates (JGA) is seeking a Client Service Coordinator to join our Client Service team. This role focuses on proactive project management, scheduling, budgeting, and coordinating client engagements with lead consultants.

You will help keep projects on track, manage timelines, and support rigorous documentation across multiple engagements. The position is hybrid, based in Greenwood/Indianapolis, IN, with December 2026 anticipated start date.

Qualifications

  • 2–4 years of relevant professional experience in project management, client service, or a related field.
  • Experience coordinating work across teams and managing multiple concurrent projects.
  • Ability to anticipate needs, identify risks, and drive action.

Responsibilities

  • Provide proactive project management for active client engagements from internal kick-off through completion.
  • Develop, maintain, and monitor project schedules to keep engagements moving forward.
  • Meet regularly with consultants to review progress and identify delays or risks.
  • Maintain clean records in project management tools and coordinate internal meetings.
  • Coordinate client meetings, calendars, and travel logistics.
  • Support client surveys and materials preparation.

The Opportunity

JGA seeks an organized, proactive, and highly dependable professional to join our Client Service team as Client Service Coordinator. The ideal candidate is a skilled project manager who takes initiative, thinks ahead, and enjoys bringing structure and momentum to complex philanthropic consulting work. This individual will work closely with consultants to manage multiple client engagements, maintaining visibility into timelines, deliverables, budgets, and upcoming needs.

The Client Service Coordinator serves as the primary operational partner to consultants, helping teams stay organized, accountable, and focused on the goals of each engagement. The successful candidate will combine strong attention to detail and follow-through with the judgment to anticipate next steps, identify potential risks, and proactively keep projects moving forward.

Duties and Responsibilities
Project Management:

Provide proactive project management for active client engagements from internal kick‑off through completion.

  • Manage multiple client engagements in coordination with lead consultants, maintaining a holistic view of project goals, timelines, deliverables, and next steps.
  • Develop, maintain, and monitor project schedules, anticipating upcoming needs and deadlines to keep engagements moving forward.
  • Meet regularly with consultants to review project progress, drive action and accountability, and identify potential delays, risks, or other challenges.
  • Maintain clean, accurate, and up-to-date records in Monday.com and other project management tools.
  • Coordinate and lead internal project meetings, including kick‑offs, team huddles, and project closure meetings.
  • Participate in client check‑ins and other project meetings as appropriate.
Project Budget Management:

Monitor the financial progress of active engagements and work with consultants to keep projects aligned with established budgets.

  • Monitor budgeted versus actual project hours throughout each engagement.
  • Regularly review project financial status with consultants and proactively identify potential overages or concerns.
  • Recommend addendums, extensions, or other adjustments when project scope or circumstances warrant, escalating significant concerns to the Director of Client Service.
Client and Team Coordination:

Manage scheduling, communication, and logistics that support effective client delivery and firm operations.

  • Coordinate client meetings, internal team meetings, interviews, calendars, and other project‑related scheduling.
  • Provide calendar and scheduling support to consultants and other team members as needed.
  • Book travel and manage related logistics for consultants across client engagements, meetings, and conferences.
  • Prepare, print, and coordinate project materials as needed.
  • Provide administrative support for client surveys, including survey setup and response monitoring.
Client Service Team and Continuous Improvement:

Contribute to the effectiveness of the Client Service team and ongoing improvement of JGA’s project management and client service practices.

  • Meet regularly with the Director of Client Service to discuss project status, risks, workload, and emerging needs.
  • Identify opportunities to improve project management processes, workflows, and client service based on experience across engagements.
  • Participate in Client Service team initiatives, professional development, and JGA strategic activities as appropriate.
  • Perform other duties as assigned.

  • Ability to monitor project budgets, interpret financial information, and identify potential concerns.
  • Proficiency in Microsoft Office Suite and comfort learning and using project management systems; experience with Monday.com or similar project management tools preferred.
  • Ability to represent JGA professionally and maintain appropriate discretion when working with clients and confidential information.
Education and Experience
  • 2–4 years of relevant professional experience required, preferably in project management, project coordination, client service, or a related field.
  • Demonstrated experience managing multiple concurrent projects and coordinating work across teams preferred.
Physical and Work Requirements
  • Ability to work in the JGA office 3–4 days per week.
  • Prolonged periods of sitting at a desk, working on a computer, and talking on the phone.
  • Ability to work occasional evening or weekend hours as required.
  • Ability to lift up to 15 pounds at times.
