Base pay range

$55,000.00/yr - $70,000.00/yr

Located in Overland Park, we have a blended business that integrates and coordinates retirement planning, estate planning, and investment management through a financial planning process. We serve individuals, small businesses, and foundations. Many of our clients have been with us a long time, and we are passionate about assisting multiple generations within their families. Our team is growing, and we are excited to welcome a highly organized and efficient Client Service Associate to join us. This position is crucial in supporting the advisory team, our clients, and the day-to-day firm operations, including facilitating and maintaining ongoing client support, answering general inquiries, handling various client matters, researching and resolving client service issues, preparing required documents, and performing administrative tasks. You are dependable, proactive, and able to work independently while thoroughly enjoy being part of a team. You’re a go-getter when it comes to follow through and details rarely slip your grasp. You approach everything you do with a service heart and an unmatched level of accuracy. You are also a bit of a techie, with a love of learning and using new technology. You take immense pride in your work and your reliability, understanding that every person is critical when working in a small team dynamic.

General Responsibilities:

  • Greet and welcome clients in a friendly and professional manner in person and over the phone
  • Answer, screen, and route phone calls, assisting clients directly or taking messages as appropriate
  • Prepare and ensure new account paperwork is successfully submitted, which includes preparing forms, obtaining appropriate signatures, preparing documentation to upload, and coordinating rollovers
  • Handle routine matters for client accounts, including processing name and address changes, beneficiary changes, bank authorizations, and answering client questions; provide tax reporting documents to clients
  • Track outstanding client service items; proactively address outstanding issues and provide updates
  • Correspond with clients to resolve client service challenges as they arise
  • Create and maintain accurate client records in the CRM system (Redtail), ensuring all confidential and required information is securely stored
  • Maintain and update the Required Minimum Distribution (RMD) list annually, including adding new clients, calculating RMD amounts, and recording them accurately in the spreadsheet
  • Assist in preparation for client meetings and calls; send out agendas and prepare materials, including client illustrations, graphs, charts, reports, etc.
  • Support the advisory team with processes related to prospective clients
  • Assist clients in navigating online access to their accounts
  • Process securities and checks received in the office (Brokerage and Non-Brokerage)
  • Schedule meetings and manage calendars for the advisory team
  • Communicate with the broker/dealer, advisory firm and product contacts
  • Perform various miscellaneous administrative, client service, and general office management tasks as assigned

Qualifications:

  • High school diploma required; Bachelor’s degree highly preferred or equivalent work experience
  • 1-3 years of progressive experience within an RIA environment highly preferred; candidates with experience in similar financial services environments, such as accounting, banking, investment operations, insurance, or mortgage industry roles with a focus on processing are also encouraged to apply
  • Highly organized, with an absolute attention to detail
  • Excellent follow-through and communication regarding status of open items
  • Client-first attitude; ability to interact with clients professionally and respond to clients in a timely manner
  • Strong time management skills; ability to prioritize and coordinate multiple work assignments and deadlines efficiently despite frequent interruptions
  • Excellent interpersonal and communication skills; ability to communicate in a pleasant, tactful and effective manner (both orally and in writing), and to handle difficult, sensitive issues
  • Intermediate or higher computer skills and experience in using Microsoft Office suite, email, internet, databases, and other standard office desktop applications
  • Ability to analyze situations, define problems and/or objectives, identify relevant factors, formulate logical conclusions and suggest alternative solutions
  • Must be willing and able to complete a background and credit screening as an employee of a FINRA-regulated advisor. Final job offer is dependent on successful completion and approval by the broker/dealer firm.
  • Competitive base compensation of $55,000-$70,000, depending on experience
