Job summary

Mosaic is seeking an Associate Client Service Representative to support two advisors and their clients from Tempe, with monthly travel to the Scottsdale HQ. You will manage client accounts, prepare statements, run reports, and maintain CRM records while upholding compliance standards.

The role emphasizes exceptional client service, multitasking, and proficiency in Microsoft Office. Travel to Scottsdale is required for team meetings, and duties span administrative support and client-facing

Qualifications

• Exceptional client service and hospitality skills.
• Ability to multitask and skillfully manage a fluctuating workload.
• Excellent verbal and written communication.
• Strong working knowledge of Microsoft Office suite.

Responsibilities

• Run financial plans in E-Money.
• Assist clients with accounts and logging in.
• Assist in sending clients statements when requested.
• Run reports and prepare documents for quarterly client portfolio reviews.
• Maintain electronic and physical files.
• Take detailed notes in CRM (Redtail) on all processes and client interactions.
• Follow standard operating procedures to meet service steps and maintain compliance standards.
• Send client welcome kits.
• Schedule client appointments.
• Travel to Scottsdale headquarters at least once a month for team meetings.
• Assist with office functions such as mailings, call campaigns, answering phones, greeting clients, filing, maintaining break areas, ordering supplies, and other duties as assigned.
