Job summary

Arkansas Baptist Children & Family Ministries (ABCFM) is seeking Client Representatives to be the first contact for individuals seeking mental health counseling. The role requires calm, respectful, and genuine interaction while supporting clients and counselors.

You will handle intake, scheduling, payments, and office tasks, ensuring smooth daily operations and compliance with agency policies. Orientation and role-specific training will be provided.

Qualifications

• High School diploma or GED required or equivalent.
• Some experience in office settings and customer service preferred.

Responsibilities

• Answer phone calls and respond to voicemails in a timely manner.
• Schedule counseling intake appointments for clients.
• Offer a friendly environment for clients in waiting areas.
• Maintain new client paperwork (EHR).
• Take client payments and log on money transmittal sheet.
• Update counselors’ schedules.
• Communicate cancellations and rescheduled appointments with counselors.
• Submit time sheets to the Financial Administrator in a timely manner.
• Participate in annual Quality of Care Review.

Description of Ministry Position: Our Client Representatives are often the first contact for individuals seeking mental health counseling. Therefore, it is imperative that our Client Reps have the ability to remain calm, respectful, genuine and kind during these interactions. Client Reps must show grace even when the circumstances are difficult. Client Reps will be juggling many different tasks and will serve as a support not only to clients but also to the counselors.

Responsibilities of Ministry Position:

CLIENT INTERACTION:

• Answer phone calls and respond to voicemails in a timely manner
• Schedule counseling Intake appointments for clients
• Offer a friendly environment for clients in the waiting areas

COMPLIANCE WITH POLICY:

All Living Well Professional Counseling employees are expected to review and adhere to all agency policies and to ask questions if they are uncertain about a policy.

TRAINING:

All Living Well Professional Counseling employees will complete orientation within the first 30 days of employment that includes a review of agency policies as well as specific training related to that employee’s job. Other trainings will be assigned based on the role of the counselor and the site at which he/she will work. Employees are expected to complete all trainings by the assigned due date.
