Responsibilities

  • Plan and execute customer appreciation events for 350 clients; coordinate client trips and gift logistics.
  • Manage executive calendars for two company owners; coordinate appointments and document scheduling reminders.
  • Greet clients on arrival and maintain a professional, welcoming office environment.
  • Answer calls, direct inquiries and provide excellent customer service; support MAC moves as needed.
  • Generate weekly reports from CRM and ensure materials for staff meetings are prepared.

The Customer Specialist plays a vital role in enhancing the client experience by managing customer appreciation events, coordinating office operations, and supporting executive scheduling. This individual will ensure clients feel welcome, handle key administrative tasks, and assist with office management responsibilities. The ideal candidate is highly organized, personable, and proactive in delivering exceptional service to both clients and internal team members.

Key Responsibilities:Client Experience & Event Coordination:
  • Plan and execute customer appreciation events for 350 clients.
  • Organize two major trips for select clients, handling logistics and communication.
  • Manage monthly birthday gifts and birthday cards for clients.
  • Coordinate various events and ensure client participation.
  • Plan and oversee client gift giving and delivery to key partners.
  • Greet and welcome clients upon arrival, ensuring a warm and professional experience.
Executive Calendar & Scheduling Support:
  • Manage the calendars of two company owners, including scheduling, confirming, and rescheduling appointments.
  • Ensure all appointments are properly documented and coordinated.
  • Provide reminders and necessary materials for scheduled meetings.
Office Administration & Operations Support:
  • Answer incoming calls, direct inquiries, and provide excellent customer service.
  • Maintain office cleanliness and organization, including handling trash collection and general upkeep.
  • Place monthly supply orders and ensure office needs are met.
  • Generate weekly reports from Redtail CRM for staff meetings.
  • Assist operations with Move-Add-Change (MAC) work as needed.
Qualifications & Skills:
  • Education: High school diploma required; Associate’s or Bachelor’s degree preferred.
  • Experience: 2+ years in customer service, administrative support, or event coordination (preferably in a financial advisory or professional services environment).
  • Technical Skills:
  • Tech savvy
  • Strong knowledge of Microsoft Office Suite (Outlook, Word, Excel).
  • Familiarity with calendar management and scheduling tools.
  • Soft Skills:
