Job Description
** ICG is looking for an exceptional Client Relations & Office Coordinator to become an important point of connection between our clients and our team.**
This is more than a front desk position. We are looking for someone who is warm, professional, highly organized, proactive, dependable, and excellent with people. You will often be the first voice a potential client hears and will play an important role in making sure our clients feel welcomed, informed, and taken care of.
The right person can provide an exceptional client experience while keeping up with a busy, fast-moving office, incoming leads, phone calls, scheduling, follow-up, and multiple priorities.
Most importantly, we are looking for someone who takes ownership and follows through. If you say you'll call a client back, schedule an appointment, send information, or complete a task, we expect it to be handled without someone having to remind you.

Key Responsibilities
- Create a welcoming and professional experience for every client, vendor, and visitor
- Answer and direct calls using a multi-line phone system
- Respond to incoming client inquiries, emails, and appointment requests
- Receive and help manage new leads
- Gather initial information from prospective clients and ensure leads are routed appropriately
- Schedule appointments, site visits, meetings, and follow-ups
- Assist with calendar coordination for multiple team members
- Maintain consistent communication and follow-up with clients
- Help ensure clients know what is happening and what comes next
- Enter and maintain accurate client and project information
- Complete data entry and maintain organized recordsTrack assigned tasks and follow-ups through completion
- Assist with internal communication between office and field teams
- Provide general administrative and office support
- Help keep the front office clean, organized, professional, and operating smoothly
- Assist with social media updates, website content, and marketing when needed
- Assist with special projects and additional administrative responsibilities as assigned
Client Relations
A major part of this position is making sure our clients receive the level of service and communication we expect at ICG.
The right person will be comfortable:
- Building positive relationships with clients
- Communicating professionally by phone, email, and in person
- Following up when information is needed
- Helping clients reach the correct team member
- Keeping communication organized
- Making clients feel heard and valued
- Taking ownership of a question or request until it reaches the appropriate person
- Following through rather than assuming someone else handled it
** We don't expect you to know every answer. We do expect you to help find the answer and make sure the client is taken care of.**
Requirements
- Previous experience in a fast-paced office, administrative, customer service, or client relations environment preferred
- Excellent verbal and written communication skills
- Strong organizational and time-management skills
- Strong attention to detail
- Comfortable managing multiple responsibilities at once
- Proficient with Google Workspace , including Gmail, Docs, Sheets, and Drive
- Comfortable learning new software, CRM/project management systems, and technology
- Professional phone and email etiquette
- Reliable transportation and a valid driver's license
- Ability to pass a background check and drug test
- Must be dependable and consistently report to work on time
** Construction experience is helpful but not required. We can teach the industry—the right attitude, work ethic, communication skills, and ability to follow through are more important.**
