Client Operations Supervisor
Summary of Position: Under the direction of the Director of Client Operations and the general instruction of the Facility Contact at various facilities, the Client Operations Supervisor is responsible for the efficient operation of assigned accounts. The role also involves assisting in training, staffing, and providing coverage at various sites.
Duties & Responsibilities:
- Answering day-to-day questions posed by clients and Release of Information Specialists (ROIS).
- Meeting facility revenue goals consistently.
- Identifying and recommending opportunities to increase productivity.
- Ensuring compliance with all release of information functions as per service agreements.
- Preparing weekly dashboards and month-end operational performance reports; monitoring productivity and quality to ensure high customer satisfaction.
- Assisting the Director of Client Operations in training and evaluating ROIS staff, both onsite and remote.
- Participating in the hiring, interviewing, and termination processes for employees.
- Conducting counseling sessions and making disciplinary or termination recommendations when necessary.
- Managing staff scheduling, including time off requests and payroll approval.
- Supporting remote supervisors with work coordination.
- Distributing workflow to site personnel.
- Maintaining confidentiality of all information seen and heard in the facility.
- Providing input for site procedure reviews and revisions.
- Performing quality reviews and site evaluations as required.
- Reviewing release of information requests for validity according to applicable statutes; returning inappropriate requests.
- Managing medical record lookups, guides, and retrievals.
- Reviewing requests to determine the specific encounters requested.
- Scanning and electronically capturing medical records, selecting relevant information for duplication.
- Reassembling paper charts for re-filing when necessary.
- Logging information sent to requesters manually or via software, following facility procedures.
- Documenting the release of information appropriately.
- Calculating billing and preparing invoices as needed.
- Certifying medical record copies when applicable.
- Attending all mandatory meetings and training sessions.
- Ensuring supplies are available at designated facilities.
- Submitting travel expense reports and receipts promptly.
- Adhering to company policies as outlined in the Employee Handbook.
- Performing other duties as assigned to meet department and company needs.
Minimum Qualifications:
- High School Diploma or GED required; some college preferred.
- RHIT Certification preferred.
- Valid driver’s license with a safe driving record.
- Effective communication skills with clients, staff, and management.
- Experience with medical records or healthcare beneficial.
- Knowledge of HIPAA privacy standards required.
- Medical terminology coursework preferred.
- Ability to obtain ROI Certification with a score of 85% or higher within 90 days.
- Ability to travel required.
