This position sits within the client operations team, works under an operations team lead, and collaborates with clients, client service colleagues, and internal service teams. This is a fully remote, desk-based position offering work from home in Ohio, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities
- Review incoming client emails and queued requests in a Support platform such as Freshdesk, identifying the requested action, urgency, missing information, and appropriate internal owner.
- Check client contact details, service references, and previous interactions in a CRM such as Salesforce before updating a request or sending an acknowledgment.
- Ask clients focused questions when instructions are incomplete, explain the next step clearly, and record the information needed for the internal team to proceed.
- Complete routine service updates within assigned permissions, following written procedures and checking entries against the client's confirmed instructions before saving changes.
- Organize internal handoffs using a Project management tool such as Asana, recording task ownership, dependencies, target completion dates, and the information each receiving team needs.
- Follow up with internal service teams when actions remain outstanding, then provide clients with accurate progress updates without promising unconfirmed completion times.
- Escalate conflicting instructions, repeated delays, and requests outside assigned permissions to the operations team lead, summarizing prior actions and the decision needed.
- Maintain request trackers using a Spreadsheets and data entry tool such as Google Sheets, reconciling open items against system updates and flagging inconsistent status information.
- Review recurring request patterns and basic performance metrics, helping the team lead identify avoidable handoffs, unclear instructions, and practical opportunities for continuous improvement.
- Confirm completed actions, communicate the outcome to clients, and close requests with complete notes; quality is judged through accuracy, turnaround, clear handoffs, and timely follow-up.
