Job Summary

The Client Coordinator may report to the Supervisor Client Leadership (SupCL). In this role they will work to become a key internal and client team member, with shared responsibility for one or several different client teams/partnerships. The person in this position will learn the people, processes, disciplines, methodologies, and various project lifecycles within the agency, and how to support and participate in those efforts. Critical areas of focus: efficiency, profitability for all projects as well as strengthening Team & Client relationships.

Essential Duties and Responsibilities

  1. Team Management: Interacts and communicates effectively as assigned with internal, vendor and client relationships.
  2. Project Management: Manage details of large Integrated Campaigns/projects, or smaller more tactical assignments.
  3. Take direction from Client Leaders/Senior Client Leaders to build out the Campaign/Projects and estimates in the project management system.
  4. Set and Schedule internal/external project-specific meetings.
  5. Maintain system integrity and archive project milestone history as deemed necessary.
  6. Responsible for maintaining project leadership system integrity and reporting.
  7. Keep Client Leaders and Senior Client Leaders aware of issues relating to each assignment and the deployment of the process, raising concerns, and identifying solutions when needed.
  8. Assist/support Client Leaders and/or Senior Client Leaders, in communicating project status, reviews and other meetings.
  9. Assist/support Client Leaders and/or Senior Client Leaders in development of Project Management tools, systems, and resources (WMJ, templates, trackers, etc.).
  10. Develop understanding of, and support, the Creative development process while ensuring quality control throughout.
  11. Responsible for helping to develop elements of project specific work by collaborating with cross-functional team.
  12. Assist/support Client Leaders and/or Senior Client Leaders with the Print Production process and execution.
  13. Learns, understands, and supports the digital/web production process and execution (website, display, search, social, promotional, emails, etc.).
  14. Learns, understands, and supports managing deadlines, deliverables, and timing throughout the project lifecycle (plan, develop, produce, test, etc.).
  15. Responsible for creating clear, error-free meeting reports.
  16. Keep server files organized and current.
  17. Responsible for scheduling project status, reviews, and other meetings.
  18. Alert Client Leader/Senior Client Leaders if client or agency actions/requests stray beyond scope of work, and help engage in contingency planning to recommend solutions.
  19. Demonstrate engagement while learning and understanding the finance process and P&L management.
  20. Supports the team in administration of vendor financial management (if project has a third-party cost, manage the invoice/PO process; ensure the invoices are within budget and properly coded).
  21. Industry Knowledge: Demonstrates engagement and learning to grow and understand marketing communications disciplines with ability to articulate benefits of each to clients.
  22. Client Relationship & Communication: Assigned to a primary team by the VP/Director, based on availability and expertise/capability, responsibilities may go beyond a single specific client or client team.
  23. Begin developing relationships with clients, gaining understanding of professional/personal motivations and influence.
  24. Supports the CL and other leaders in proactive management communication including agendas, client status reports and conference reports and follow up communications, on a timely basis.
  25. Act as key agency communication hub with internal team(s) and external client communication driving for full clarity as needed during the five (5) basic phases of the Project life cycle: Planning, Initiation, Development, Review and Approval, Activation & Execution, Financial Reconciliation, and Audit.
  26. Demonstrate engagement and learning to grow and understand the client's business and marketing challenges at the brand, category, and industry levels.
  27. Presentations: Support the client leadership team in developing presentation materials as requested.
  28. Demonstrate engagement and learning to articulate agency storylines.
Qualifications:

Education, Experience and Certifications:

  • Bachelor’s Degree from an accredited four-year college or university preferred.
  • 0-3 years of experience in marketing, advertising, or related field preferred; internship or other relevant experience may also be considered.
  • Related internships and/or job experience preferred.
Bonus Eligibility

The pay range for this position in Illinois is expected to be between $38,000 to $43,000 per Year. However, base pay offered is based on market location, and may vary further depending on individualized factors for job candidates, such as job-related knowledge, skills, experience, and other objective considerations.
