We seek a Client Concierge Specialist to be the first point of contact for prospective clients and referrals, handling intake, conflicts checks, and onboarding with discretion and professionalism.

The role supports attorneys by coordinating consultations, gathering information, and guiding clients through fee structures and engagement documents.

Qualifications

• Excellent written and verbal communication skills
• Strong organizational skills and attention to detail
• Ability to communicate professionally and compassionately with clients
• Proficiency with Microsoft Office preferred
• Experience in a law firm intake, receptionist, legal assistant, or administrative role is a plus

Responsibilities

• Serve as the primary point of contact for prospective clients and referral sources
• Respond to inquiries via phone, email, referrals, and website inquiries
• Conduct intake calls and gather information for conflicts checks
• Obtain preliminary case information and summarize matters for attorneys
• Explain consultation and representation fee structures to prospective clients
• Schedule attorney consultations and teleconferences
• Send consultation confirmations and appointment reminders
• Follow up with prospective clients regarding consultations and engagement status
• Run conflicts checks and coordinate with attorneys on potential conflicts
• Draft and transmit fee agreements and engagement documents
• Obtain signed agreements and retainer payments
• Open new matters and input client information into the case management system
• Maintain organized client files and intake records
• Track referral sources and intake information
