Job summary

Holland & Knight LLP in Tampa or Dallas seeks a Client Accounts Specialist to partner with Billing Attorneys and internal teams to resolve client non-payment issues and improve collection realization.

You will monitor aged invoices, respond to requests, and coordinate with the Billing team on audits, reconciliations, and escalation as needed. This role supports professional growth within a large law firm and offers comprehensive benefits.

Responsibilities

• Interact with attorneys, assistants, and clients to resolve non-payment issues.

• Address collection requests quickly and accurately.
• Collaborate with Billing team on audits and reconciliations and escalate as needed.

General Description

The Client Accounts Specialist will work with Holland & Knight’s Billing Attorneys, assistants, and internal teams as a liaison with clients, for the purpose of resolving client non-payment issues to improve collection realization.

Key Responsibilities And Essential Job Functions

• Communicate and interact with attorneys, assistants, and clients.
• Manage assigned attorneys’ inventory, specifically monitoring and resolving aged invoices, credit balances, and aged unbilled work.
• Handle all aspects of attorney and client outreach (via e-mail, phone, and/or mail) to resolve non-payment issues.
• Respond to collection related requests quickly, effectively, and accurately.
• Work with peers and management on collection related requests.
• Partner with the Billing team to resolve auditing issues, reconciliation issues, and elevate concerns as needed.
• Communicate and report to leadership on delinquent collections and at risk inventory.
• Assist with the training of new team members, as needed.
• Expected to maintain a regular and predictable work schedule and full attention to and engagement in work activities on behalf of the firm during business hours unless otherwise approved or required by applicable law.
• Special projects and duties as assigned.

Required Skills

• Knowledge of or ability to learn Microsoft Office Suite, or Microsoft 365.
• Excellent organizational, problem-solving, and time management skills.
• Excellent written and verbal communication skills, with the ability to interact professionally with attorneys, clients and internal stakeholders.
• Excellent interpersonal skills and ability to use good judgment.
• Excellent computer skills.
• Proficient knowledge of accounting functions.

Required Qualifications & Education

• 2-5 years of work in a professional environment.
• Knowledge of collection strategies and financial reconciliation processes.

Preferred Qualifications & Education

• 1-2 years of work as a Client Accounts Representative.
• Bachelor’s degree in accounting, Finance or Business discipline.
• Advanced Microsoft Excel Skills (vlookup, xlookup, pivot tables).
• Knowledge of legal eBilling Platforms (i.e. BillBlast, etc.).

Physical Requirements

• Ability to sit or stand for extended periods of time.
• Moderate or advanced keyboard usage.
