Job Description:

OFFICIAL TITLE: Clerk IV, Mathematics (10-Months)
SUPERVISION RECEIVED: Department Chair
SUPERVISION EXERCISED: May supervise student employees, as assigned

General Statement of Duties: The Clerk IV serves as the primary point of contact and clerical support for the Mathematics Department.

Responsibilities:

  • (E) Responsible for exceptional front-line customer service; greeting guests, answering telephones, and responding to inquiries related to the department, in accordance with established procedures.
  • (E) Prepares correspondence to include letters, memos, emails, and newsletters for the department.
  • (E) Files materials in accordance with the prescribed classification system, converting print files to electronic files where applicable; ensures all files are accessible and accurate.
  • (E) Performs data entry tasks to include inputting data into Colleague, as well as pulling data from databases for reporting purposes.
  • (E) Assists department chairs with tasks including communications and budget management.
  • (E) Prepares requisitions and purchase orders for procurement purposes, coordinates with department faculty on maintaining a spreadsheet of annual department purchases.
  • (E) Receives and distributes incoming mail.
  • (E) Proofreads typed materials for accuracy and completeness.
  • (E) Assists with event planning to include reserving rooms, ordering food, and other relevant tasks.
  • (E) Orders and maintains office supplies, keeps the department well-stocked and organized.
  • (E) Maintains records of faculty attendance and submits to payroll.
  • (E) Assists students with pre-registration information and advisor assignments.
  • (E) Stays up-to-date on training university systems such as Colleague, Blackboard/Web Advisor, Google suite, Zoom, and website management.
  • (E) Maintains information on, and communication with, departmental advisory boards.
  • (E) Maintains listings and information on external organizations, companies and agencies that provide student internships, research opportunities or support for department activities.
  • (E) Maintains a database of alumni with contact information.
  • (E) Maintains departmental calendars in electronic format and coordinates schedules for meetings, appointments, presentations, etc.
  • (E) Provides clerical support and assistance for the WSU Math Center and for math placement testing.
  • (E) Demonstrates civility and professional, customer-service oriented behavior, worthy of emulation by other staff and students.
  • (E) Responsible for contributing to the WSU Strategic Plan.
  • (E) Responsible for contributing to Equal Opportunity/Affirmative Action objectives.
  • Performs other duties as assigned within the Clerk IV classification
  • At least (A) three years of full-time, or equivalent part‑time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.*

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*

III. A diploma for completion of a one-year, full‑time, or equivalent part‑time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.*

IV. A diploma for completion of a two-year, full‑time, or equivalent part‑time, program in a recognized,non‑degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required experience.*

*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

NOTE: Educational substitutions will only be permitted for a maximum of two years of the required experience.

  • Knowledge of the English language including spelling, word meaning, and word usage.
  • Ability to understand and apply the laws, rules, policies and procedures governing assigned unit activities
  • Ability to read, write, and comprehend the English language.
  • Ability to use proper grammar, punctuation, and spelling.
  • Ability to follow written and oral instructions.
  • Ability to assemble items of information in accordance with established procedures.

Preferred Qualifications:

  • Strong Microsoft Office skills, including Word, Excel, PowerPoint and Access.
  • Familiarity with Google suite of apps; Gmail, Drive, Calendar, etc.
  • Familiarity with using Zoom, Colleague, Blackboard, WebAdvisor, and Perceptive Content.
  • Ability to manage multiple priorities simultaneously and adhere to deadlines.
  • Experience working in a higher education setting.
  • Strong organizational skills.
  • Ability to learn the placement exam process and codes.

This is a grade 13, non-exempt, full-time (10 month, 37.5 hours/week), benefited AFSCME position. This position will have a 9-week, unpaid non-service period from June- August. The bi-weekly salary is $1,971.21(annual salary is $42,381.02). The work schedule is Monday through Friday, 8:00am- 4:00pm (fully in-person).
