POSITION PURPOSE

Provides clerical support for the entry, processing, and scheduling of work orders; enters and maintains digital records including fiscal information. Supports adherence of work order entry procedures including data-entry, document collection, and scheduling.

ESSENTIAL JOB FUNCTIONS

Work Order Processing Functions

Answers incoming calls from staff; provides general work order information and status updates, and refers callers as appropriate, to other staff or other District personnel.

Provides personalized support to District personnel regarding work order submission protocols.

Assists employees and resolves issues related to work order entry; escalates issues as needed.

Receives and processes work orders for repair and maintenance of District facilities.

Schedules and distributes work orders to the appropriate crew members based on craft, priority, assets or other factors as needed.

Supports crew members in accurate record keeping including scheduling, completion status, tracking of labor, and material use.

Compiles and generates periodic reports regarding work order activities to support supervisor report requests.

Compiles, maintains, and stores all physical and computerized reports, records, and other documents in a systematic and confidential manner.

Operates all office equipment (e.g., computers, printers, copy machines).

Coordinates with customers to ensure area is accessible for maintenance or repair.

Dispatches technicians via GPS or provides location updates as needed.

SAFETY

Performs preventive maintenance on tools and equipment and ensures equipment is in safe operating condition.

Follows established safety procedures and techniques to perform job duties including lifting and climbing; operates tools and equipment according to established safety procedures.

Corrects unsafe conditions in work area and promptly reports any conditions that are not immediately correctable to supervisor.

Knowledge of using ERP software in a school administration environment.

Skill at the intermediate level, working with Google Suite and Microsoft Office 365, especially Outlook, PowerPoint, Word, and MS Teams.

Skill in performing mathematical calculations with accuracy and data entry with minimal errors.

Skill in actively looking for ways to help people.

Skill in interpersonal relationships, including using tact, patience, and courtesy.

Ability to accurately prepare and maintain records, files, and reports.

Ability to process and handle confidential information with discretion.

TRAVEL REQUIREMENTS

Travels to school district buildings and professional meetings as required.

PHYSICAL & MENTAL DEMANDS, WORK HAZARDS

Tools/Equipment Used: Standard office equipment, including computer and peripherals; standard instructional equipment.

Posture: Moderate sitting and standing; occasional stooping, squatting, kneeling, bending, pushing/pulling, and twisting.

Motion: Frequent repetitive hand motions, including keyboarding and use of mouse; occasional reaching; moderate walking.

Lifting: Occasional light lifting and carrying (less than 15 pounds).

Environment: Works in an office setting; Work inside and outside (exposure to sun, heat, cold, and inclement weather); exposure to noise; may require occasional irregular and/or prolonged hours.

MINIMUM REQUIRED QUALIFICATIONS
