Responsibilities

  • Donor relations & financial administration: process and acknowledge all donations; maintain donor and alumni databases; prepare monthly giving reports; process statements and invoices; coordinate annual renewals and Form 990 documentation.
  • Board & administrative support: liaison to the CEF Board and committees; coordinate meetings, agendas, minutes; manage inquiries; order office supplies and event items.
  • Alumni relations: maintain alumni records; respond to inquiries; manage obituary communications; support engagement initiatives and communications.
  • Teacher grant program coordination: manage application process, coordination, purchasing, communications; coordinate with grant recipients and district.
  • Event coordination & community engagement: organize Foundation events; manage Hall of Fame nominations and attendee tracking; support fundraising and engagement events.
  • Endowment & recognition programs: coordinate endowment awards with Clayton High School; prepare documentation; coordinate recognition activities.
  • Communications & marketing support: assist with social media, website updates, newsletters, donor communications; help develop Annual Report.

POSITION SUMMARY The Foundation Coordinator serves as the operational and administrative backbone of the Clayton Education Foundation (CEF), overseeing the day-to-day functions that support the Foundation's mission, programs, fundraising efforts and strategic initiatives. This position provides high-level support to the Foundation Board, committees, donors, alumni, and community stakeholders while coordinating core Foundation operations, including donor stewardship, financial and database administration, event management, grant program administration, alumni engagement, regulatory compliance activities, and communications support.

The Foundation Coordinator acts as the primary liaison between the Foundation Board, School District of Clayton, alumni community, donors, and external partners to ensure the efficient execution of Foundation initiatives, programs, fundraising efforts, and events. The role requires exceptional organizational skills, attention to detail, discretion, communication abilities, and the capacity to manage multiple projects simultaneously in a collaborative, service-oriented environment.

REPORTS TO: Clayton Education Foundation Boardand Chief Communications Officer

ESSENTIAL JOB DUTIES

Donor Relations & Financial Administration
  • Process and acknowledge all donations
  • Maintain and update donor and alumni databases
  • Prepare and distribute monthly giving reports for Foundation leadership and Board
  • Process bank statements, brokerage reports and District invoices
  • Coordinate annual insurance renewals, nonprofit registrations and Form 990 documentation
Board & Administrative Support
  • Serve as primary liaison to the CEF Board and committees
  • Coordinate Board meetings, agendas, minutes, and related logistics
  • Manage Foundation phone and email inquiries
  • Order office supplies, promotional materials and event items
Alumni Relations
  • Maintain alumni records, class lists and contact information
  • Respond to alumni and reunion inquiries
  • Manage alumni obituary communications and updates
  • Support alumni engagement initiatives and communications
Teacher Grant Program Coordination
  • Coordinate all aspects of the annual Teacher Grant Program, including application management, review coordination, purchasing, fulfillment, award communications, and Prize Patrol activities
  • Serve as primary contact for grant recipients and District coordination
Event Coordination & Community Engagement
  • Coordinate Foundation events in partnership with staff, volunteers and vendors
  • Manage Hall of Fame nominations, communications, event logistics, vendor coordination, programs, and attendee tracking
  • Support fundraising, alumni and community engagement events
Endowment & Recognition Programs
  • Coordinate annual endowment awards with Clayton High School
  • Prepare award documentation and coordinate recognition activities
  • Partner with Foundation leadership and Treasurer on award distribution
Communications & Marketing Support
  • Support the Community Relations Coordinator in developing and delivering social media content, website updates, newsletters and donor communications.
  • Collaborate on the development of the CEF’s Annual Report

REQUIRED QUALIFICATIONS – Required qualifications to effectively perform job. An equivalent combination of education, training and experience will be considered.

  • Requires travel to multiple work sites within the District using reliable, personal transportation.

WORK ENVIRONMENT – Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.

  • Hybrid position- The majority of work will be completed remotely, with visits to The School District of Clayton for meetings and event planning.
  • Non-traditional work schedule with event planning, coordination and attendance.

TERM of EMPLOYMENT:

Not to exceed 20 hours a week, 260 day position (part time)

FLSA Status:

Non-Exempt

Salary: $23.66-35.80 hourly commensurate with experience.
